Remove Unpriced Items from Price Lists in Database

Background:

When creating a new item, SAP Business One automatically creates a record in the company database for this item in each price list, even if a price was not defined for the item.

Over time, the matrix of Items multiplied by the number of price lists may be resulted in increasing database size that may reduce the efficiency of the day-to-day work.

Special setting in SAP Business One enables you to remove the unpriced records from database and maintain more efficient database structure.

How to customize?

From SAP Business One Main Menu choose: Administration > System Initialization > General Settings > Pricing tab, and select the “Remove Unpriced Items from Price List in Database” checkbox.

When selected, records of items with no prices are removed from the pricelists in the database, and the database size is reduced accordingly. This may result with improved performance.

Note that the items master data records of the unpriced items are kept in the company database, and only the items prices records are removed from database.

Exceptions:

  • Records with zero prices that are marked as 'Manual' are not removed
  • Records with zero prices that their 'Factor' is different from the price list 'Default Factor' are not removed.
  • Records with zero prices that their 'Base Price List' is different from the price list 'Default Base Price List' are not removed.

In case the option is checked, all Business One processes are aligned and records with no price will not be inserted into the database when creating new item or new price list.

You can select and deselect this option at any time.

The check box does not affect the two special price lists: Last Purchase Price List and Last Evaluated Price List.

Note:

The checkbox ”Remove Unpriced Items from Price Lists in the Database” neither replaces nor conflicts the checkbox 'Hide Unpriced Items', which is available in some reports and other price list-connected forms. For example:

When deselected, unpriced Items will be displayed in reports, with zero prices regardless the status of the “Remove Unpriced Items from Price List in Database” checkbox.
