Adding custom properties (Meta Data) in KM for SAP Mobile Documents

Introduction

This document describes how to add custom properties to your SAP Mobile Documents documents, that are being stored in SAP KM. It is part of the complete step-by-step setup guide for SAP Mobile Documents.


SAP Mobile Documents (on-premise version) relies on SAP KM to physically store the documents. The attributes of the documents that are configured in KM will be propagated to SAP Mobile Documents.

This is how you can add additional attributes to SAP Mobile Documents. The described steps use invoice metadata as an example.

Create Namespace

For the addtional attributes to be created, you first create a namespace for the properties to be assigned to.

Log on to your Java System to the KM administration console: http://<server>:<port>/irj with administrator privileges for KM.

Go to

System Administration - System Configuration - Knowledge Management - Content Management - Global Services Property Metadata - Namespaces - Namespaces - New


The value of the field Alias is later on displayed as a grouping category for the properties in SAP Mobile Documents.

Create Property Group

When creating properties in KM, there are two types of groups available. The group that we will create in this step is being used for a meaningful grouping category (e.g. invoice)

Create Property


As an example we will create a string attribute.

System Administration - System Configuration - Knowledge Management - Content Management - Global Services - Related Areas - Property Metadata - Properties - New


The value of Property ID will be used by KM and SAP Mobile Documents to display the property. The value of Property ID does not allow blanks.

Hint: Copy all property names (Unique IDs) that you are creating to a notepad. You will need them later on to paste into a grouping.


Repeat the creatíon of properties for all properties that you want to create, for example CustomerNumber as integer type:

Create Property (Structure) Group

This property group is different from the previously created property group. This property group (in property structures) is used for the rendering in the UI.


System Administration - System Configuration - Knowledge Management - Content Management - Global Services - Related Areas - Property Structures - Property Groups - Property Group - New


Enter a value for Name. The value of the field Name will be displayed in KM as a new tab for the group of attributes.

Add all properties (value of the field Property Unique ID) to be assigned to this group (tab) in field Group Items - separated by commas.


Add (Structure) Group to all_groups Group

Select all_groups - Edit.

Add the value of the field Name of the Property (Structure) Group into Group Items separated by commas.

Assigning property values to documents or folders


Log on to your Java System to the KM administration console: http://<server>:<port>/irj with administrator privileges for KM.

Go to

Content Administration - KM Content - Navigate to document that you want to assign the properties to.

Open the context menu - Details

Click Settings - Properties

Go to the newly created tab.

Your newly created properties can now be maintained in the new tab labelled with the value set in the field Name of the property group (structure).

Activate Properties for SAP Mobile Documents

In order for the new properties to be displayed in SAP Mobile Documents UI, you need to refresh the repository. You do this by saving the configuration of the Corporate Repository:

http://<server>:<port>/mcm/admin --> Repositories - --> Corporate Content --> <select the repository containing the file that you have assigned the properties to> --> Just hit save (without doing any changes). Now the Properties should be refreshed.

Go to the SAP Mobile Documents UI http://<server>:<port>/mcm/browser
