Hi,
Once the mails are approved through the "APPROVE" link in outlook(external mail) i.e . after you click on the approval link in the mail,the response should be visible in the Documents section in inbox of the user WF-BATCH.Then you need to schedule the program "RBBP_OFFLINE_EVAL " with user WF-BATCH which will read the approval mail response and then update the status in SRM.Through this program the workitems get processed. Once the workitem is processed, this disappears from Documents.
However if you have scheduled the program "RBBP_OFFLINE_EVAL " with user WF-BATCH properly and still the status is not updated in SRM,then there could be no of reasons for that like:
1.In General,check whether the inbound mails are recieved into the SRM system frm any external mail client.Try to send a test mail to the WF-BATCH email ID from your outlook or any other external mail ID like yahoo,gmail etc and see whether that mail is recieved in SRM system.
2.For all the offline approval mails,both outbound and inbound,all the communication happens through the user WF-BATCH.Please see whether the email ID has been properly maintained for this user in SU01.Also the communication method in SU01 for this user has to be set as blank.
3.In SO50,check the foll settings:
Communication type: Internet email
Correct recipients email address(email addr of WF-BATCH )
Exit name:CL_BBP_SMTP_INBOUND_OFFAPP
For the email address ,ask your exchange server team.This email ID needs to be set correctly for your SRM server.
4.In addition to all abve settings,please do all the settings mentioned in Oss note 455140 for inbound mail processing for offline approvals.
