Dear Anand Tripathy,

MB5K - You can use this to check the consistency of your stocks at company code level, valuation area level, and material level.

MB5L - This report is used to display the total stock quantity and the total stock value for a material at plant and storage location level.

Program Documentation for RM07KO01 (MB5K):

You use the stock consistency check report (RM07KO01) to check the consistency of your stock data at company code level, valuation area level, or material level. This allows the system to determine possible errors in your stocks in good time, before they cause greater problems.

The report provides the following functions:

For the table of stock values for anonymous stocks (MBEW), valuated sales order stock (EBEW), and valuated project stock (QBEW), the program checks if:

The quantity of the total valuated stock matches the total of the individual subordinate stock segments

The price specified corresponds to the value/plant quotient

There is a negative price when you have a positive quantity of a material

A negative value exists for a material when negative stocks are not allowed in Customizing

There is a value when the relevant material has a stock level of zero

In the case of split valuation, the program checks if:

The quantity of the total valuated stock matches the total of the individual subordinate stock segments

The total valuated stock for each material matches the total of the valuation segments

The program checks for each material whether a cost estimate number exists. This updates the index for the accounting documents for the material (table CKMI1).

In the case of materials subject to batch management, the program checks if the quantity of storage location stock matches the total of the individual subordinate batches.

If the material ledger is active, the program checks if the tables in Inventory Management correspond to the material ledger tables.

Note:

We recommend that you run this report at regular intervals, for example, monthly after the period closing, or during the tasks for year-end closing. <To do this, choose LS>Periodic processing -> Consistency check.

Output

If the report determines that there is stock data containing errors, it issues a list with the following information for each material:

Associated valuation area

Total stock quantity (actual quantity)

Total of all stocks from the subordinate stock segments

Base unit of measure

Stock value in local currency

Material price with details of the price control

Price unit

Comments on the material and details of incorrect tables

If you select a material, you can go to the detail screen by choosing Edit -> Choose.

If a material was blocked at the time of the consistency check, the system issues a message that it was not included in the check. From the list, you can subsequently check a blocked material manually. To do this, select the material and choose Edit -> Check material. If the material is still blocked by a posting transaction, the system issues a message that the program was not able to block the material. In this case, you should repeat the manual check a few minutes later.

In the case of material subject to split valuation, the system displays the total valuated stock and the total stock value in the Total valuation types line. It also lists all the stock value tables over which the total stock is divided. For each stock value table MBEW <Material number>, you can display the stock for the associated valuation type.

In the case of valuated sales order stock EBEW <sales order number> and project stock QBEW <project number>, you can display the relevant stock in detail.

If a material does not have a calculation number, the system issues a message during the check. A complete stock analysis cannot be carried out for a material that does not have a calculation number. In this case, you should have the system automatically assign a calculation number to allow it to carry out a document analysis for materials with errors. If you cancel the check instead, you can subsequently assign the missing calculation numbers from the list of materials with errors by choosing Edit -> Assign calculation number.

You can use the Environment menu to do the following for each material:

Display the material master record

Display the stock overview

Display the material documents for the material

Display the accounting documents for the material

Display the material ledger documents for the material

Call up the report for the balance display for a material

What can you do if the report finds inconsistencies?

If the report found materials with errors, you should first establish for each affected material if the error is long-term by choosing Edit -> Check material.

If it is, you can establish on the detail screen for each material which errors the report found. Examples of possible error messages are:

011 Calculation number missing

045 Incorrect price

060 Negative stock not allowed

063 Material ledger record does not exist for current period

066 Material ledger currency record does not exist for current period

500 Actual quantity not equal to total of stocks

501 Actual quantity not equal to total of valuation segments

If a material has errors, contact the SAP hotline immediately and quote the error number.

Program Documentation for RM07MBST (MB5L):

The report List of stock values: Balance display is used to display the total quantity and value of the stock of one or more materials at plant and storage location level.

In addition, the system determines the stock account to which material is posted in the case of a goods movement.

You can display the balance values for each company code and G/L account. The balance of the G/L account is compared to the stock value of the specified material, and any deviation between the two totals is indicated.

Note

We recommend that you start this report regularly, for example, once per month for the previous period or during the tasks of the year-end closing. To do this, choose Periodic processing -> List of stock values from the Inventory Management menu.

No materials are blocked when you run the report. The systems continues updating stock values and stock quantities and continues posting values to the G/L accounts that have been checked. The balance values may not therefore by zero, even though there are no inconsistencies in the system. When postings are being carried out, you will not get accurate results until you run the report several times and compare the results of each one.

If you start the report without specifying a material, valuation area, or valuation class, the balance per stock account must be the same as the total valuated stock of all materials in the respective valuation class.

Variances can occur for the following reasons:

You have entered postings to the stock account manually.

The stock account includes not only stock postings, but also other postings. In this case, you should check the account determination in the Customizing for Valuation and Account Assignment. Make sure that the stock accounts are used solely for the transaction key BSX (stock postings).

Check Account Determination

The account assignment for the stock accounts (transaction key BSX) was changed during productive operation; the respective stocks, however, were not deducted from the old account (movement type 562) and posted to the new one (movement type 561).

You can choose the following balance values:

Balance of the current period

Balance of the previous period

Balance of the previous year

Requirements

To display data, you need the following authorizations:

authorization to display material master data for at least one plant (authorization object Material master: Plant, activity 03)

authorization to display accounts (authorization object Accounting document: Authorization for account types, activity 03)

Output

In the standard system, the report issues a list with the following information for each material:

For each company code, the balance of the G/L account is compared with the stock value of the material specified and the system indicates any deviation between the two totals.

If several materials have been specified, the cumulative total of the stock values of all selected materials posted to the G/L account are compared to the balance determined, and any deviation between the two totals is displayed.

If you place the cursor on the G/L account and select Environment-> Display stocks, the system displays an overview of all materials with their total stock and total value for the selected G/L account. If you place the cursor on a material and select Environment -> Stock overview, you can display the stock overview.

Display further information

If you require more data and want a detailed evaluation, you can enhance the current layout or choose another existing layout via Settings -> Layout.
