from where the system will calculate that if inquiry document is created then it should carry only 30%
and if quotation is created it should carry only 70%
from where these figures will come into picture.
my question is from where?

Hi Balaji,
The probability of a quotation is generally assumed to be higher than that of a more casual inquiry i.e., 70% vs. 30%. In truth, they will differ from company to company and are arrived at by a study of historical data, such as how many inquiries and quotations were later referenced by orders.
For example there may be 100 inquiries for any product or services come but the chance are of 30 % for converting it into order, similarly for quotation. 30 and 70 % are standard in SAP for in and qt respectively. But may defer from company to company.

The probability percentages reflects the chances of converting those into orders. These are the standard values that will be defaulted into the documents. If you create an order for one lakh then the probable document value will be calculated as 30,000 only, since the document value is multiplied with the probability value. You can see this value in the overview screen or header (I'am not sure).
You can change these values in the document, (even different probability percentages for different items) at item level and then the net probable value will be changed automatically.

As you may be aware at the first instance, customer will ask for some about the product which they are going to buy. So based on the data you received, you submit an inquiry giving some indicative price details and other conditions.
Based on this inquiry, customer will ask for further details like supplier part number, validity of price etc., for which you submit a quotation. If the customer is convinced on the price and other terms and conditions, they will release confirmed order.
So here what the top Management's requirement would be to track these details as to
- how many inquiries have been generated and converted into quotations
- how many quotations have been generated and converted into orders
There is no standard report to track these datas. So what you have to do is to develop a report from table VBFA with the key combination fields "Preceding Document" and "Subs.Doc.Category".
With these two fields, you can generate the required data. Coming to the probabillity, there is no thumb rule for this. You can generate any number of inquiries and quotations but ultimately, the Management's goal should be those quotations should be converted into orders.
