Can anybody let me know the process of Archiving in DMS?

How to Archive a DIR?

Execute SARA transaction

You can set a deletion flag for document info records that you no longer require for managing

documents and their original application files. Archiving object CV_DVS enables you to archive

these document info records. After the archiving run, you can delete the archived document info

records.

The document info records that you archive and delete with archiving object CV_DVS are

identified by the following data:

Document,Document type,Document part, Version

When you use archiving object CV_DVS, you archive data from the following tables:

Table Description

DRAD Link between document and object

DRAO Originals for document

DRAOZ Additional files for original for document

DRAP Document log file

DRAT Document descriptions

DRAW Document info record

DRAZ Table for additional files for original

The following table shows the functions that you can use for archiving object CV_DVS.

Function Report Program

Archive DVSARCH1

Delete DVSARCH2

Manage DVSARCH3

Thanks a lot for the very good information.

I want to archive a set of documents under the docuement type "MRK".

You asked me to RUN the archival. I dont know how to run that.

Can you please tell me the step by step process of how to do archival?

hi,

Follow the steps

1. Goto DIR which u want to archive and set them deletion indicator On from document tab

2.Go to transaction CVAR and create Varient for DMS.

3. Select the selected Varient

4. Click on Start date

5. slect the start time for writing,You can choose immediate or schedule later also

6. Select spool parameters, give output device and press procced, now archiving job wil be scheduled

7. Now u can check scheduled job by clicking Shift + F4 in same transaction

8. Select the job & click on Joblog

9. Note down The archiveing session no. is 0000xxx

10. Now execute transaction CVRE and enter read program as DVSARCH3 and execute

11.Provide the archiving session Number 0000xxx and execute u get archived document list.

12. For deleting archived documents execute CVLO transaction, Select the archived file

13. Select the No 0000xxx. & click on Continue

14. Select the start date,You can choose immediate or schedule later also

15. Enter spool parameter and execute

16. Now deleting job will be scheduled,

17. Check the DIR in CV02n, u wont get those archived DIRs

Hi,

I have executed all these steps.

while deleting, It showed No deletion variant is created.

So i went to customizing -> Archiving Object-Specific Customizing: Technical Settings.

I didnt enter the logical file name. As im not sure which one to be selected.

I have created a Test mode variant and Production Mode variant.

Content Repository entry is empty.

After this i executed delete program, but Still i can see the DIR in Cv04N.... why?

i have stored the Original application file (PDF) in a content server.

is that a problem?

Or pls let me know where im getting wrong.

hi,

have created varient? if not create varient with some selection parameter, in ur case Document type "MRK", then follow these steps.

Application type does't matter, u can use anty type of application for archiving.

Hi,

I have created a Variant MRK while Create Archive files.

does Deletion also requires Variant?

But when i click on the delete button the Execute Delete Program screen doesnt have "Variant field" as like the Create Archive files screen which appears on clicking the Write button.

Do i need to do any configuration to bring the Variant field in Deletion Screen?

Or it is not necessary?

hi,

U dont need varient in deleting(CVLO), same steps I followed working fine, plz follow once again all steps i have mensioned earlier. It should work
