Automatic document distribution

Dear Sirs,

We are in the process of activating automatic Document distribution.

Basically we are able to send the mails succesfully manually.

We have carried out different steps explained from the SAP help.

By using transaction SWETYPV we have activated Draw-Change for DOKST i.e status also BUS1082 is active

Context assignment to event has been done to BUS1082 and DRAW change

Still when we change the status no mail has been triggered.

Are we missing something on this.

Hi Rane,

please check if you have also activated the event type linkage for the following entries

DRAW CHANGED DISTRIBUTION

DRAW CHANGED DOKST

DRAW CHANGED DWNAM

in transaction SWETYPV. Afterwards a mail should be sent if you change the document info record.

Hi,

I can able to distribute documents but its a manual process.

Im Looking for an automatic process,

My requirement is if My document status is changed then it should trigger a mail/notification.

Or If my document is approved thru digital signature then it should trigger a mail/notification.

I have implemented the SAP note 824949.

Can anybody say how to achieve this? Is this achievable only through workflow process??

Im looking for an automated process,

When i change the document status or if i approve a document through digital signature It should send a notificaion to me.

Is this possible through the standard settings or i should use workflow??

Hi

You can try one of this...

actually where you assign agent in task, you define rule.

This is standard as 155 which works like this

UserA creates a DIR

UserB changes it...

As soon as userB changes DIR userA gets a mail....

Hi,

Manually i can do document distribution.

But how to do automatic distribution?

whenever i change the DIR,

Im getting notification in Outbox under SWBP.

Hi

You can do this using workflow.

Use the standard event Changed of the BOR DRAW And the starting condition is the status change.In the next step you can assign the agent Draw.user as the person who will receive the mail since it directly gets copied from the BOR and send mail in the send mail option

Tou need to activate the three links..

the rules can be managed in PFTA

Are you talking about the Event Type Linkage? These are activated as per the SAP note 824949 mentioned above.

Yes i m talkin @ same 3 event linkages

PFCA

is a Tcode where Rule is to be maintained which will be having a data runtime...

Im nt sure how todo that may be you can figure out and let me know also

SAP Provided default rule is 155 which is @

if document is changed by person other than responsible then a responsible person gets a mail.

e.g. USERA creates a DIR and USERB changes it

then USERA gets a mail..

i hv already tried and it is working....

Hi Niranjan,

Pls tell the correct Tcode PFTA or PFCA?

SAP says Transaction PFTA doesnot exist. Transaction PFCA doesnot exist.

both transactions are not exist.

Hello SAP Gurus,,

if Automatic mails could be triggred based on the change in Status- tothe predefined Recipient list pls confirm.

if this is not standard or could not be done with SAP Setting we have to go for development?

Thanks for the reply.

I have tried the same and also checked the distribution log . How ever no any entries found for the document.
