How to make solution manager to manage documents

Hi!

We are tired of using shared drivers to store our basis

documents.

Could you inform us how to leaverage Solution Manager

to manage our tech docs?

Sounds like you want the KM functionality of the SAP NetWeaver Portal.

Hi Jennifer,

It is very easy to maintain your documents in Knowledge Management component of Netweaver (installed on top of Enterprise Portal).

KM has an inbuilt repository (CM repository). Login to portal, access the Knowledge Management tab. There you can find the subtab where you can store all documents named something like"content xxx". There you can just create your folder structure and upload your documents. Access restrictions can also be enforced at document level.

You can approach your KM consultant for more elaborate details. Or else can post the query in Knowledge Management Forum.

Hi,

You can handle any kind of document which are related to your 'project'.

Step 1 : create a project (can be a of type implementation)

Step 2 : Goto Business blueprint and maintain a business process (Say 'Basis').

Step 3 : Under project documentation tab, you can maintain all the documents.

You could even further break the basis activity and create sub steps under 'Basis' and organize still better.

What is the major benefit by doing this?

We want to be able to

1) update the docs easily by the team;

2) search topics by key words;

3) hyper link internal or external references;

4) print in PDF format;

...

Can SM4.0 do all above for us?

Hello,

The major benefit is that you have all the documents stored at one single point. You can define new document types and store it in the knowledge warehouse of Solution Manager which you think a particular document will be used at various levels.

Answer to each of your question:

1) update the docs easily by the team

A. Yes. All the team members who have access to Solution Manager system can upload and edit/update the documents easily

2) search topics by key words

A. You can search for a specific document when you run a report in SOLAR_EWAL. This will show the list of documents in your project

3) hyper link internal or external references

A. When you create/upload a new document, link can be provided to it

4) print in PDF format

A. You can upload the documents in PDF format and print it directly from Solution Manager

I only have 2 more questions:

1) how many doc types are supported? xsl, doc, ppt, visio, xml, ...?

2) some documents for the procedure to achieve my gaol?

All document types are supported. You can upload documents in any format.

FYI: If you are not able to display/view any documet, then I suggest you check for the version of GUI and install latest patches for GUI.

Hi Jennifer,

Regding ur 3rd query:

(3) hyper link internal or external references

---> Internal reference - which means hyperlink to some document stored internally in Solution Manager. With respect to this, please be aware each time you make any change to the document stored in Solution Manager, the URL changes.

So, whenever you refer to a document stored in Solution Manager(say doc A) from another document(say doc B), any change to doc A, requires a change in the URL (referring to doc A) which was used in doc B.

---> External reference - when it is an URL referring to an internet site, there will not be any issues. But when it refers to any other content server, please make sure that content server is accessible from SolMan.

Just thought of cautioning you regarding the URL issues.
