Email Notification to PO creater in Outlook Inbox

Hi,

I am using SRM server 5.50 SP08. Self service procurement scenario - Extended Classic.

When work item is approved/rejected, system sends emails as per settings done in IMG path:-

Supplier Relationship Management > SRM Server > Cross-Application Basic Settings > SAP Business Workflow > Define Recipient of Notifications.

I am getting these mails in SAP inbox of users. I want these mails to go to Outlook Inbox.

Please suggest what is required to be done.

Processing of Work Items in Other Mail Clients

Use

Employees who do not usually work with the inbox of the Enterprise Buyer system can process work items in their usual mail client.

You can do this with work items from the approval workflows listed below:

Shopping Cart

Entry sheet (except in the case of workflows for error handling)

Invoice (except in the case of workflows for error handling)

Creating Users

All workflows created using the Workflow Wizard

Features

Depending on whether the mail client in question is a MAPI client or not, the system administrator and the employees must carry out certain preparatory tasks.

MAPI-Client, such as Microsoft Outlook

In the case of MAPI clients, processing of work items is to a great extent automatic.

For each work item that appears in the inbox of Enterprise Buyer and that can be processed, a work item with a URL (Uniform Resource Locator) is created in the MAPI client. The employee uses the URL to directly access the application in Enterprise Buyer in which he or she is to execute the activity.

If the work item concerns the approval of a requirement coverage request, the manager goes directly to the detail screen of the work item in the inbox, where he or she can process the work item. On the other hand, if the work item results from a rejected requirement coverage request, the employee goes directly to the shopping cart in question.

As soon as a required activity is completed for a work item, for example, the requirement coverage request is approved or rejected, the corresponding work item in the MAPI client is automatically deleted.

Other Mail Clients

Non-MAPI clients must be able to interpret URLs if you want to use them to process work items.

Employee Activities

Employees who want to process work items in their usual mail client choose the function Settings on the logon screen in the Enterprise Buyer System. They enter the appropriate e-mail address in the field E-mail address and activate the field Forward work items to e-mail address.

For each work item that appears in the Enterprise Buyer inbox and that can be processed, an e-mail containing the appropriate is sent to that e-mail address. The employee uses this URL to access the Enterprise Buyer logon screen and is then taken directly to the application in which he or she is to execute the activity.

The work item is considered to be completed when the activity required has been carried out in Enterprise Buyer. The URL in the relevant e-mail is then no longer valid. The following exception applies here: If the work item is the result of a rejected requirement coverage request, the work item is considered to be completed as soon as the employee accesses the shopping cart in question via the URL, irrespective of whether he or she edits it or not. In this case as well, the URL in the relevant e-mail is no longer valid.

In contrast to MAPI clients, the e-mail is not automatically deleted when you complete a work item if you use other mail clients. Employees must delete the e-mail by hand.

System Administrator Activities

In the Enterprise Buyer system, the system administrator must schedule report RSWUWFMLEC to run at regular intervals. This report sends an e-mail to the mail client of employees who have specified that their work items are to be forwarded there. The report creates an e-mail for each work item that can be processed.

You make the following settings for the report:

Select One mail per work item to specify that one e-mail is to be sent for each work item.

In the field Standard notification text, enter the message text that should appear in the e-mail to the employee in addition to the standard text for work items. Enter this text in the appropriate language.

You can specify a date and time in the fields From work item creation date and From work item creation time. The system then sends all work items created since then to the corresponding e-mail addresses. Work items that have already been sent are also sent again.

To send only newly created work items, leave these fields blank.

You can specify a user name in the field User (blank = all), to only send work items to this user. If the field is blank, the system takes into account work items for all users.
