Partner determination

Dear All,

Please explain me the following

a) What is partner determination procedure and why should we carry out this procedure?

b) Why should have the partner determination procedure at different level. for example at Customer Master level, Sales Document header level, item level, delivery, transport etc.,

c) What will happen, if we do not maintain the Part.determination proc at Sales doc healer level and not maintained in Customer master level.

Partner determination: For determing who is is legally resposible for A/r, who the goods are going to and whatever else you waana drive through this functionality.

The component Partner Determination in Sales and Distribution enables you to display the partners involved in the business transaction, their functions and their business relationships in the R/3 system. When creating or processing sales documents, the system can determine the partners automatically.

If you create a customer master record, you must first of all decide which functions this customer fulfils in the business process. Then you select the account group for the customer.

If your customer merely acts as the ship-to party, create a master record for a ship-to party. In this case the system automatically proposes the account group 002. The partner can then only occur as the ship-to party.

Then you can determine which other partners are involved in the business transactions and which functions these partners fulfil, for example, additional ship-to party, contact person or forwarding agent.

In the screen Partner functions sales area, assign the possible functions to the customer and enter the other partners and their functions. All of the partners that you enter here must already have a master record.

Different Partners at Item Level

Use

It may happen that in a business transaction the partner in the document header does not apply to all items, for example, if specific goods for a customer are normally delivered to another ship-to party.

In sales documents and billing documents you can enter one of the deviating partners from the document header at item level.

hi,

R/3 refers to entities involved in a transaction with your company as partners or business partners.

each customer represents several functions. and it will be stored in the CMR.

1. sold to party - mandatory - it is the central partner function for all the other functions are referenced.

2. ship to party - mandatory - to whom the order is shipped. (Can ship to party differ from sold to party? ) - yes if the ship to party could be at totally in different location (ex- shipping point/ receiving location).

3. bill to party - mandatory - to whom the bill is sent.

4. payer - mandatory - is party that pays the bill (will have unique address).

u can see these partner functions thru match code in VA02 = goto= header= partner.

IF WE DONT MAINTAIN THE PARTNER DETERMINATION PROCEDURE AND ASSIGNING IT TO THE ACCOUNT GROUPS, THE BUSINESS TRANSACTIONS WILL NOT BE POSSIBLE. B'COZ EVERY TRANSACTION SHOULD COME INTO THE ACCOUNTS FOR AUDITING PURPOSE IN AN ORGANISATION.

A plan that specifies how, when, and from what sources the system determines partners in a business transaction, what partner functions are mandatory or suggested in this transaction, and what rules apply to these partner functions.

In Financial Accounting, debitors are controlled using account groups. You can assign your defined partner functions to these account groups.

You cannot create a sale order if you have not maintained Partner Function in Customer Master which means, in SD process, without PF, you cannot do anything.

Hi,

<b>(a)PARTNER DETERMINATION PROCEDURE:</b>

<b>First go to OBD2</b> – create customer account groups. Here you make new entries, click whether it is a one time customer, description. Also you can do the field selection here for general data, co. code data and sales area data.

<b>Now go to IMG</b> – logistics general – business partner – customers – control – define & assign customer number ranges. Here you define the number range that you want and assign it to your customer account group.

<b>Now go to VOPA</b> – here the selection will be on customer master, click on partner procedures, create the partner determination procedure. After saving it double click on it then you will face with a screen. Here you enter the partner function and you can select if you want the function as mandatory and not changeable.

<b>Then go back</b>, click on procedure assignment, enter your account group in the lower left corner of the screen, press enter then in front of that select your partner determination procedure. Then save it.

<b>Then click</b> on go back 2 times. Here you can see partner functions, click on it, then go to environment in the upper menu and select Acct. grp assignment. Here just select your partner function and in front of that you select your customer account group. Then save it. Now you have completed the pre requisites to create the customer master.

<b>Then go to XD01</b> and create your customer master.

<b><b>Why it should be carried out?</b></b>

We sell the goods to a customer. while creating sales order SAP asks for Sold to perty which is the ordering party. Then the delivery is done for the Ship to party. The invoice is done for the Bill to party and finally we get the payment from the Payer. So these are the 4 basic partner functions which should be present for carrying out a sales process end to end successfully.

<b>(b) Partner determination at different levels:</b>

At customer master level - So that the sales process can be carried out successfully. If line item 10 has to be shipped to other shipping address, then do it at item level.

<b>At sales document header level</b> - If you want to track the sales employee who created the order then create a new partner function as a sales employee and assign to the sales document header level. Similarly you can do it at the item level also.

Similarly for delivery and transport.

<b>(c) If partner determination is not done</b> at the customer master level. the you will save the customer master and will receive a number from the system. But when you create a sales order and enter the customer no. in the sold to party field the at that time the system will give you an error that the Sold to party does not exist for this customer.

Similarly the system will give an error if you try at the sales document header level.

Step 2

Defining Partner Schemas

IMG->MATERIALS MANAGEMENT->PURCHASING->PARTNER -> DETERMINATION -

>PARNER SETTINGS IN VENDOR MASTER RECORD

->DEFINE PARTNER SCHEMAS

Step 3

Assign Partner Schema

IMG->MATERIAL MANAGEMENT->PURCHASING->PARTNER DETERMINATION->PARTNER

Step 4

Define Permissible Partner Role Per Account Group

If you want a partner schema for your own document type then define your partner schema and assign to document type using the below mentioned path.

And then

Once you have this configuration then you change your vendor in easy access menu (XK02-select partner function) define the partner roles.

In the partner procedure you can determine whether partner functions can or should occur in a partner object (customer master, sales document, item category etc.).

For each object, in whixh partner functiions can be created, you can define partner procedures. That means

for the customer master

for sales documents

for sales documents and billing documents: for items

By assigning a procedure you determine for which account groups (for the customer master), which sales document types (for sales documents) and for which item categories this procedure is valid.

In the partner determination procedure you can determine for each partner function:

whether the partner function is an obligatory partner function

whether the partner function may be changed in the document

For sales documents and sales activities you can also enter in the partner procedure that the corresponding partner function should be occupied by another other than the sold-to party master record (source control).

You can create a partner determination procedure for billling documents in which the sold-to party, bill-to party and the payer are obligatory but the ship-to party is not. (For billing it is more important to know who orders and pays for the goods rather than who receives them)

In Parner Detrmination Proc, SP,SH,BP and PY are mandatory Partner Fns. When u define PDP in Customer master only, all partners will flow from Customr master till billing. So not creating PDP at CM level would not sound fine. Though you can define additional PF at other levels like SD Hearder, item etc.
