hi gurus,

can anybody give me solution for correct defination for partner determenation procedure for customer master data.

The component Partner Determination in Sales and Distribution enables you to display the partners involved in the business transaction, their functions and their business relationships in the R/3 system. When creating or processing sales documents, the system can determine the partners automatically.

hi krishna,

partner determination procedure we do the partner function determination. W e have 4 basic partner functions in SAp for customer master.

SP - sold to party, customer who gives the order.

SH - ship to party, actual shipping address.

BP - bill to party, the billing is done on this customer's name.

PY - payer, customer who actually pays the billed amount.

PARTNER DETERMINATION PROCEDURE

First go to OBD2 – create customer account groups. Here you make new entries, click whether it is a one time customer, description. Also you can do the field selection here for general data, co. code data and sales area data.

Now go to IMG – logistics general – business partner – customers – control – define & assign customer number ranges. Here you define the number range that you want and assign it to your customer account group.

Now go to VOPA – here the selection will be on customer master, click on partner procedures, create the partner determination procedure. After saving it double click on it then you will face with a screen. Here you enter the partner function and you can select if you want the function as mandatory and not changeable.

Then go back, click on procedure assignment, enter your account group in the lower left corner of the screen, press enter then in front of that select your partner determination procedure. Then save it.

Then click on go back 2 times. Here you can see partner functions, click on it, then go to environment in the upper menu and select Acct. grp assignment. Here just select your partner function and in front of that you select your customer account group. Then save it. Now you have completed the pre requisites to create the customer master.

Then go to XD01 and create your customer master.

The following are the elements in partner processing -

<b>Partner Function Category</b> - Used by the system for identifying the partner function and the business partners who carry out the responsibilities. Predefined by SAP and cannot be changed or created. Partner function categories can be defined as predefined "classifications" to which partner functions are assigned.

<b>Partner Function</b> - Describes the partners used in the organization. Each partner function belongs to a particular partner function category. Partner Functions are defined at spro -> Customer Relationship Management -> Basic Functions -> Partner Processing -> Define Partner Functions.

<b>Partner Determination Procedure</b> - Set of rules which control the working of business partners in transactions. It can be assigned to a transaction type and an item category. A partner determination procedure consists of procedure user, partner functions and interface settings. Partner Determination Procedures are maintained at spro -> Customer Relationship Management -> Basic Functions -> Partner Processing -> Define Partner Determination Procedure.

<b>Access Sequence</b> - Search strategy for determining the data sources for partner determination and the order in which to search for. Partner Determination Procedure combines partner functions and access sequences (and also contains more information). If no access sequence is maintained for a partner function in a partner determination procedure, then the partner can be entered manually. Access sequences are defined at spro -> Customer Relationship Management -> Basic Functions -> Partner Processing -> Define Access Sequences.

<b>Customizing</b>

Partner functions and access sequences are created in customizing and partner determination procedure combines both of them (in addition to having additional information). This partner determination procedure is then assigned to a transaction type and / or item category. So the sequence will be Access Sequence -> Partner Function -> Partner Determination Procedure -> Transaction Type or Item Category.

<b>Transaction processing</b>

When a transaction of a particular transaction type or item of a particular item category is created, the partner determination procedure assigned is used to automatically determine partners for the partner functions in the partenr determination procedure using the access sequence. So the sequence will be Transaction Type or Item Category -> Partner Determination Procedure -> Partner Functions -> Access Sequence.

When creating a customer master record, the SAP System proposes the allowed partner functions to be maintained. According to the rules defined here, the partners are adopted from the customer master records of the sold-to parties into the sales and distribution documents.

You have to edit the following points for the function "Partner determination":

Partner function

You define with the help of the partner function which functions exist for the partners ( customers, vendors, employees, and so on) in your system.

Partners allowed for each account group

You allocate the permitted partner functions to every account group customer.

Function conversion

You can define the key of the partner functions according to the language.

Partner object

Partners are possible in the customer master record and the so-called partner objects in the sales and distribution documents. Select a partner object and define the rules for partner determination for this object.

Partner determination procedures

You define partner determination

Procedure allocation

You allocate each partner determination procedure to an actual partner object using a key, for example, to an account group customer or a sales document type.

Partners are contained both in the customer master records and in the sales and distribution documents. You define partner determination for each of these objects individually.

The following partner objects exist:

sales document

header

item

delivery

header

billing document

header

item

sales activity

After defining the partner functions, select one partner object after the other and define the partner determination procedures for the selected object.

Only when you have checked and, if necessary, changed the partner determination for all the partner objects is the function "Partner determination" completed.

Note on tranport interface

1. Define the partner functions that differentiate the roles of partners in your system.

2. Define the partner determination procedure, and assign the key of the relevant partner object to this procedure.

3. Assign the partner functions you define to the account groups.

When you create a customer master record, the SAP system proposes the allowed partner functions for maintenance. The partners are copied from the sold-to party's customer master records into the sales documents, according to the rules you have defined.

You can use the partner function to help you define which roles exist for partners ( customers, vendors, employees, and so on) in your system.

You assign the allowed partner function for each account group customer.

Function key conversion

You can define language-dependent keys for the partner functions.

Partner object

Partners can exist in the customer master record and the sales documents. These are both partner objects. Select a partner object and define the partner determination rules for the object.

Partner determination procedures

For each partner object, you define partner determination procedures that each contain the allowed partner functions.

Assigning procedures

You use a key to assign each partner determination procedure to a fixed partner object, for example, an account group customer or a sales document type.

Partners are contained in both the customer master records and in the sales documents. You define partner determination separately for each of these objects.

The following partner objects exist:

Customer master record

Sales document

Header

Item

Delivery

Header

Shipment

Header

Billing document

Header

Item

Contact

Activities

After you have defined the partner functions, select the partner objects in turn and define the partner determination procedures for each object.

The "Partner Determination" function is only complete once partner determination has been checked, and changed where required, for all partner objects.

Defining Partner Functions

When defining a partner function, you enter whether the partner is, for example, a customer, vendor, customer employee, or your own employee. Depending on the partner function, the system expects you to enter a customer number, vendor number, a personnel number, or another number of your choice.

You must enter the following parameters for a partner function:

Partner function

Enter an alphanumeric key for the partner function. This key can have up to two characters and a text description.

Partner type

The partner type is an indicator that tells you which type of partner you are dealing with, for example, partner type Customer "KU".

At this point in time, you cannot change the partner types in Customizing. You can only select partner types that are contained in the standard delivery.

Error group

You use the error group to assign an incompleteness procedure to the partner function (see section "Log of Incomplete Items").

Superordinate roles

You can enter superordinate partner functions for a partner function. In this way you can map the existing relationship between the partner functions.

Unique in customer master record

If you flag a partner function as unique, then you can only enter the partner function one time in the customer master record.

For example, the sold-to party must be unique in the customer master record, whereas you can enter more than one contact person.

Customer hierarchy type

In this field, you can specify whether a partner function can be used for a customer hierarchy. To do this, enter the customer hierarchy type for which the partner function is allowed. For more information about the customer hierarchy type, see the section "Define Hierarchy Types and Assign Account Groups".

Role key conversion

If you work with several languages in your sales system, you can perform a language-dependent role key conversion.

This allows you to show the internal key definitions, for example AG and WE, differently on the screen according to the logon language of the user. This means that you can display the German key AG for Anmeldungen in English as CU. (This key conversion is necessary because the partner functions (AG, WE, and so on) are sometimes fixed in the programs.
