WebSurvey: questionary Versioning and Integration with web-mail clients

We have SRM 5.0 SRM_SERVER 5.5 SP level 7

Vendors access to a free link where they insert their data and register in SRM system. Automatically a questionnaire is sent to the vendor. Vendor complete the questionnaire and send it back to SRM with a mail sent by Outlook.

If now, we want to send back the questionnaire to the vendor (i.e. he forgot or he failed to insert one important data) the questionnaire received by the vendor is always empty, and there is no possibility to send back the questionnaire previously filled, in order to complete it just with a delta of data. This is a serious problem because our questionnaire are very long.

Moreover, it is not possible for the vendors to save a draft of the questionnaire locally on his pc, in order to complete it in more steps. This is important, because of the length of our questionnaire.

Another point of discussion is the integration with other client mail like Google o Yahoo.

Is it possible to send the questionnaire by a web client? Or the only way to send the questionnaire is by Outlook? Outlook express is good too?

Hi Guido,

we once had the same discussion. The survey option in SAP is quite basic and

does not offer any nice to have features.

A sent back is not possible, only option is to resend an empty one like you

described. Via the URL suppliers have continuos access to the questionnaire and

can update the information. So a normal email by the purchaser to update a

missing section serves that requirement. In that case suppliers also do not need

to save a draft as they can come back again and again.

You can give suppliers the option to save a draft, when you use the attachment

option of the questionnaire instead of the URL. For this you would need to copy

your existing questionnaire and set the tigger on header level "untick checkbox

"direct update in application").

I agree that updating of the questionnaire by a link is the only solution.

In case the first version of questionnaire is sent by e-mail, do you know something about integration with other client mail as Google mail?

The vendor have to send mails back just with outlook or it is possible to send it with a web mail?

Hi Guido,

for the process you need to choose to send the questionnaire via URL or

attachment. There is no combination of both possible.

When you go for the URL, the supplier have to live with online fillout, but with

chance to update directly. I use often direct update, because you can link the

questionnaire in a Supplier Portal and keep it up2date by the Supplier.

When you opt for attachment, you have to live with empty questionnaires when resend.

The email can be send back via every program. I faced no issues with this.

Except there is a filter active of valid email addresses. This just needs to be

discussed with the central IT.
