System allowing PR/PO although Budget is not released

Hello Friends,

I have a general query regarding AVAC, I have set AVAC on the annual release budget with activation type 1. Requirement from business is user is not allowed to generate the PR/PO until budget is release.

Now, Budget is not released yet. But, although AVAC gets activated during budget allocation for release budget, user is allowed to create PR/PO. I am confused with this system behavior.

Is this standard behavior of SAP? If yes how could we stop user to do so?

Hi Omkar,

Normally, if AVAC is not activated, you will be able to post PR/PO, but once the AVAC is activated, system will give a commitment error (Budget Exceeded), if the budget is not released.

In your case, it is Total or Annual values ?

Hi,

Can you confirm the activation type in the budget profile being maintained (OPS9). It should be 1 if AVAC is activated automatically for your WBSEs.

Please ensure that this same budget profile is maintained in the subject project.

Also ensure whether budget was distributed and released on the specific WBSEs for which AVAC did not get activated.

Dear Terence,

I agree with you, system should give me error while PR/PO posting if budget is not released. but system is allowing me to create PR/PO even though budget is not released.

Example

WBSE system status REL, BUD, AVAC

Budget Rs.100.00 (CJ30)

PR Rs.90.00 (ME51N) Committed Rs.90.00 in Budget

I have also checked that after budgeting through CJ30, AVAC gets activated on the WBSE.

We are working on Annual Values.

As you can see the screenshot in query activation type is 1, AVAC activating on WBSE on Budget allocation.

But system is allowing me to create PR/PO even though budget is not released.

Can you check if any User Exits / User status have been activated which is allowing PR/PO creation.

Hi Shubham,

As WBSE is released, user status automatically set to RLD (Released) status which allowed to create PR/PO. I dont want to stop them to create.

But my query is if the budget is not released then user should get error Message for budget exceeded.

User is not getting any error for the same...

Hi Omkar,

I feel this is because of the budget profile configuration.

1. Activation Type - 1 (Automatic Activation during Budget allocation)

2. Releases

Both are contraditory, you are activating AVAC on two places, so that system uses Activation Type 1 as precedence and allow you to maintain PR/PO.

Try to Uncheck the releases and see the behaviour

I have checked it, seems no difference to me right now. It is allowing to create PR/PO up-to budgeted amount, whether i have checked Releases or unchecked.

Rather I tried with user status too for BUGD only Budgeting and Budget release is possible, financial postings and commitments are blocked. This user status set with System Status BUDG. Later user status RLD which Activates with System Status REL for WBSE.

but there is no automated user status update for Budget Release as shown in above image and doing is manually for all those WBSE is a big task.

I want user should get error while creating PR/PO as Budget is not released.

Please suggest your views on this..

Only possible way is using User Exits.
