Authorization as per partner function for SO and Billing report

Dear Experts,

We have partner function in SO as ZR i.e. Responsible Employee.

Also master data is uploaded for ZR w.r. to employee name in SAP, and all orders are updated with partner function ZR.

Now the requirement is when particular report is executed by certain employee then report should be generated only to those orders/billing where user is marked as Responsible Employee.

By this way, employee can see only orders/billing belongs to his/her work area.

Pl's. suggest how can we achieve this.

Small clarification . Is the employee name in SAP is linked with User ID?

How the system will consider the USER Y is  with Employee Code XXXXXX?

Hope it cannot be achieved by authorization . Let others give their opinion too. Better to include it in the report query by discussing it with Business and clubbing multiple users into a single parameter.

User ID and Partner function are some..

Say user ID is ID0001 and partner function for marketing person is also ID0001 assigned in sales order partner.

In that case you can ask your ABAP er to include an query which would check the system log in id and pass it into Sales Tables and retrieve data for the report.

Hello Prashant,

There are two things I see here:

1. Sales Employee looking at the Order / Invoices in the report output that belongs outside his work area.

2. What about a Sale Employee checking the Sales Order and Invoices of other Sales Employee via standard SAP transactions like VA03, VA05N, VF03, VF05N, etc.

For your first requirement you can discuss with your technical consultant (ABAPer) and he can include a check for logon User ID in the program and the output is generated only for particular Sales Employee.

For the other point you need to have a larger discussion with your Basis consultant and development Z-Authorization objects that can control one Sales Employee viewing Sales Orders / Invoices of other Sales Employees.
