SAP-PPM 6.0

How do we allocate budget to PPM bucket?

The scenario we are replicating is:

- Planned values, bottom-up. This means, financial planning/forecast will be done at Item level and the total will roll up to the bucket

- The budget needs to be approved at the bucket level so that the allocation (to items in the bucket) is top-down

Additionally, is it possible in PPM 6.0 to

- move unused budget in the Item back to the bucket?

- move unused budget at the bucket level to some other bucket or some other fin period?

- how about availability control? How can we view the remaining budget at the Item and Bucket level?

Budget in the sense of value control and limitations as per the standard functionality available in IM and PS is not available in PPM.

What you can do is set up a financial view in PPM and make this view Bucket relevant only - i.e. do not set this view as applicable to Items or Initiatives - this can be your "Target" or "Budget" view and NO values will roll-up from subordinate Items into this view. Then you have a different financial view which is your detailed view and you make this view as input at Item level and Roll-Up to Bucket level (this is your bottom-up view). At Bucket level you will enter the value/s manually for View 1 and compare the values being rolled up into view 2.

You will have to develop some functionality to perform the functions that you mention. We have done a lot of work in this area

Hi C, that was useful.

We will be able to capture the Budget at the bucket level in the view you stated, and another view will give the rolled-up forecast from the underlying Items. This way, we can view Planned Vs Budget.

There are a few additional requirements. If you could advise on the following:

1. How do we show the availability control data - at bucket and item level? Is there anything in standard PPM 6.0 that we can use? Or does this have to be developed altogether? We are looking at a Financial view (at both item and bucket levels) that show how much of the total budget is still available (across each Financial Group, and period).

2. Is there a way we can move the unused budget from one item to another, or from Item to bucket, and from one bucket to another? Does standard SAP-PPM 6.0 support any of these or does this have to be developed too?

Hi Deepak,

1. No availability control functionality or views exist in PPM. We developed a solution for this at one of our clients.

2. Unfortunately not. You will have to follow a 'reforecasting' process where you update values in the respective Items then roll the new values up to their Buckets.
