Cannot Import Fixed Assets Master Data

Good Day Experts,

I need to import Fixed Assets for one of our using the template.

They are on SAP 9.1 PL.06.

I get this error message:

Error 'Depreciation start date...cannot be in the import fiscal year.

I did google the error but still can't find a solution.

Can someone please assist, I need to import the Fixed Assets.

Please see attached template.

Your prompt response will be greatly appreciated.

Hi,

The client gave me the Cap date, Cap Amount, Acc Dep until the end of Feb which is their fin year end and they gave me the NBV of asset as at end of Feb.

Hi Izak,

We have two options on how we can achieve your client requirements.

1. If the client agrees to capitalize the NBV of the assets before GO LIVE.  Means only the remaining book value and remaining life will be encoded to SAP.

2. Import the Details of Assets from the beginning but  as of Dec. 31, 2014 ONLY!!!! it means you have to cut off all computation such as Accum. Depreciation, Remaining life and  NBV.

And  From January to Feb 2015 you will run Depreciation before GO LIVE.


Take note that if you do import from excel there's no Journal Entry that will be posted in your book Just the Depreciation from Jan 2015 to Feb 2015 only.


In option 2 you can refer to my screenshots to my previous email that I used. Also don't be confused on what date you should input on Capitalization Date and Depreciation Date.

Capitalization Date is when you acquire the Asset, Depreciation Date will be the start of depreciation of Asset. Usually this date may be the same or could be the first day of the next period, or current period of your cap date. This depends on Depreciation Type you set up.

Thank you for the feedback.

Let me give you the scenario of what the Client wants.

In 20131117 they bought the asset for R 83,000.00 this is a motor vehicle.

The Client went life on SAP in April 2015.

I created the Fixed Asset Master Data for the fixed asset.

I set up all the fixed assets as needed.

I created the fixes assets master data manually.

Capitalization date 20131118

Historical APC: R 83000

Depreciation Area.

Useful Life: 60

Remaining Life: 60

When I do the capitalization manually I enter the posting date, document date and asset value date as 20131118.

Is this correct?

I am able to capitalize the asset.

When I run the Depr run manually it adds the Depr, but the figures does not balance back to their books.

Also the useful life and remaining life is the same and should not be the same.

is there something i'm doing wrong, or do I miss something?

Hi

The question is if your customer booked any depreciation for this FA and it is included in your initial account balance.

If this is true, the best option is importing from Excel with data you posted in the last message.

If this is false, the best option is adding from Fixed Asset Master data. To capitalize, check date and import with your customer.

Hi

check the first line, if you have the headers only delete the line and try again. Check if any FA has been recorded yet.

The last error line: what dates do the FA have?

Capitalization date and Depreciation start date cannot be the same of the actual fiscal period.

Hi Agustin,

The Client went live in Apr this year.

The sheet that they gave me is the assets until end Feb 2015.

Their Fin year is from March til Feb.

The Cap date was when the assets was bought 2013.

They want to import the FA as from 20150301, that is why the Cap date is 20130301 and Dep start date is 20150501.

Hi

The import tool does not let you load FA with Dep start date in 2015. You have to add in FA form and capitalize in this period.

So what should the template look like if I cannot add the Dep start date in the Template?

What do you mean by "Add in FA form and cap this period?

Hi,

Thank you, do I need to capture all the FA's manually?

They have more then 400 FA's.

Surely there must be template that I can use the import the Assets.

Hi

if you want to capitalize in the actual fiscal period you cannot use the Excel template. Why? Because you need to book you capitalizations and this does not book.

I think you have to use OITM template for DTW and  then capitalize the fixed assets with start date depreciation in 2015.

If any FA starts depreciation before 2015 you can use Excel template.

Hi Izak,

I guess your Client want to show only the net book value of the FA upon Go Live, it means that we will treat this FA in SAP as a new assets, and only the current value of the Assets will be capitalized. The other values like APC or original Usefullife can be input on the UDF for reference.

Like Agustin said, you can use the DTW for uploading of Fixed Assets Master Data.

The dates differ because the asset was bought in 2013 and dep start date is when the Client would like to import the data into SAP.

Hi Lean,

I will test this template, thank you , the asset does not have a serial number, why do I need to include this? Also the assets does not have a salvage value, why should I include this?

Hi

Serial number: choose the fields you need, those fields you do not need simply quit. Do not leave empty columns.

If you have fixed assets full depreciated you can add if you think neccesary.

the best explanation one example:

you have a FA capitalized in 02/02/2014 and its useful life is 24 months.

To load:

Capitalization date: 02/02/2014

Amortization start: 01/02/2014

Useful life: 24

Remaining useful life: 1 (24 - 11 months in 2014)

Thank you for the feedback.

My problem is still that the asset was bought on 2013.01.03

The fix assets depreciation start date is 2013.03.01

The Cap date is 2015.03.01.

When importing I still get the error message.

What am I doing wrong?

Hi

first, you cannot load an FA with capitalization date in the actual period.

You are trying to load wiht 01/01/2015, if it is true you have to record from Fixed Assets Master data, not from Excel.

I think you want to load in 2015, and you have to change the capitalization date to 2013 and calculate again the remaining useful life.
