Hi Experts,
A requirement has come from customer that a mail shall trigger upon partial confirmation of an activity in a project. To achieve this we attached a milestone to that activity and activated milestone function Start workflow task which is linked to a workflow of type send mail. Confirming the activity is giving a popup message as attached below but no workflow item appeared in SAP business workplace inbox. any idea ?
When testing from transaction SWDD, a workflow item generated and appeared in SAP inbox. I am new to workflow and it is being created by referring document appeared in scn, ref

for your requirement you should get in touch with workflow consultant or please follow instruction as per Richa Gupta.
after workflow creation, assign that task along with parameters under Function tab of milestone.

Hi John,
To trigger your workflow, first of all check that which event gets triggered once you confirm the activity. To do this, fist go to SWELS and switch on the event trace. Now, run your transaction to confirm the activity. Now, go to SWEL and check which event of which business object is triggered.
Now, create a workflow in SWDD and in the basic data assign the same BO and event which you got in SWEL. Do the required bindings between event and workflow in SWDD only.
Create a send mail step inside the workflow as per your business requirement.
Now, test your scenario again.

Thank you very much!
After having many trial and error, found that the problem was in task created along with the workflow. Replaced the user defined task with standard task solved the issue. However stuck with another issue that the workitem is appearing in SAP outbox with status ready but not delivering to intended user. Any idea?

you need to get in touch with Basis consultant for configuring Mail Sent to Outlook of intend User.
also check below:
you need to maintain a valid email id of the user through Xn SU01 ( User Data ).
Then in SO01 ( Inbox - Business Workplace )user settings , you need to set forwarding on.
Also, you need to check the settings in Xn SCOT. ( Contact your Basis team if required ).

Hi John,
Could you please share the basic log of your workitem.
Also, before sharing the same, please make sure that you have made this task a general task. To do this, please check if agent assignment light is green for your task.
Also, the step where you are fetching the agent, I would like to see the log of that step to make sure that you are getting a correct value for the agent. Also, please prefix 'US' with the agent value in case you have not already done that.
