Basics: Appropriation Requests and WBS elements

Hi,

I have some questions about the application of appropriation requests and WBS elements and how they behave between SAP Investment Management and SAP Project System.

1) Can the appropriation request be used to set only top WBS elements or also sub-categories (e.g. level 1, level 2)?

"Objects that can currently be used as measures for appropriation requests are top WBS elements, internal orders, and maintenance orders. For projects, only the top WBS element can be created. The rest of the project has to be created in the Project System (PS)".

  • Is this true? This excerpt was taken from AC350 System Configuration for Investment Management 04/04/2001
  • Another document from 2014 <Investment Management (IM) - SAP Library> specifies that "...The allowed measures are: internal orders, maintenance orders, and projects (top WBS elements and other WBS elements)".

2) Can two separate appropriation requests access different WBS elements of the same project?

3) How does the budgeting or planning of an investment program work? In the sense: does this occur automatically (the bottom-up or top-down distribution) say from Level 3 WBS element up/or down to the top management (investment program header) or is manual intervention required?

I understand how the budget can occur automatically but how can the system roll up the plan values as they are estimates for each position?

Hi Anthony,

1. AR corresponds to level 1 WBS-element, but you can generate the whole project structure automatically with a use of project template.  Nevertheless the AR link will be setup only with top-level WBS.

2. Only if those two WBS-es are level 1 WBS-es and in standard SAP.

3. The AR plan values can be inherited by the WBS-element that is linked to respective AR.  The budget of the WBS-element will be limited to IM program position budget.

Hi Anthony,

Just to add on to what Paulo has explained for the Point number 3  Budget value is transferred to the WBS which is linked to the IM position. And thereafter you have to manually distribute the budget to the lower level WBSes.

So if your IM Position is linked to level 1 WBS. It will receive the Budget from that position ID and thereafter you have to distribute the budget using CJ30.

So the Budgeting follows IM32 ( bugdet to the IM Position IDs) to IM51 ( Distribution of Budget from Position ID to measures) and then CJ30 ( Budget distribution to Lower level WBS).
