DMS challenges for PCI module

Hello DMS Guru's

We are freshly implementing DMS in a project for a company. We the some challenges. Need your help for the following challenges

The overall agenda is to move all documents to DMS server instead of storing in the ECC oracle DB. And also provide the end users with easy user friendly solution.

challenges we have

  1.   The DMS accepts line item level reference to the PO instead of header level
  2. If the documents in DMS accept at header level, it will be easier. It will be very tedious to enter every line item in DMS for each attachment
  3. Can the Archive link customization be changed? . so that all the documents attached in ECC is stored in the DMS server. anyone aware of such settings?

Please find my reply.

1. The DMS accepts line item level reference to the PO instead of header level

This behavior can be utilized if you want to attach specification or Drawing of Material you want to procure.

2. If the documents in DMS accept at header level, it will be easier. It will be very tedious to enter every line item in DMS for each attachment.

Here you can used SAP Archivelink Functionality where in you can attach documents at Object level which is PO. Now if you want some business process associated with Document such as creation, review and approval the you have to carry out the developement as given in below link.

There is no funda as DMS Server. SAP ECC consist of many module out of Which SAP DMS is one of the module. The metadata of a Original ( Word, Excel, PDF etc) is stored in SAP DMS ( SAP ECC) and the Original is stored on different Server ( Hardware Box ) which is called a SAP Content server. The reson the originals are stored on SAP Content server is that originals are not stored on SAP ECC application server. SAP Content server stored document in secure way and in compressed form. So utilization of space is taken care of. The originals can be attached via SAP GUI by looging to SAP ECC with User ID. We cannot access document directly from SAP COntent server via Windows explorer.

Aslo Document ( Word, Excel, PDF etc ) stored using SAP Archivelink Functionality are stored in SAP Content Server. The Object  ( PO ) itself acts as Meta data for  Document.

So decided or do a a evaluation on the various type of Documents you need  manage, categorize them, decide business process associated with each document and then take decesion whether you want to use SAP DMS or SAP Archivelink.

Do not jump on functionalities and decide whats needs to be implemented. I have seen many GREAT people who do like this and end up creating mess for themselves and their Client.
