Workflow error in Bid Invitation publication

Hello All,

Need yr help.

Business Scenario - Sourcing with Bid Invitation

We are configuring our sandbox.

System details-

SAP_ABA 700 0011 SAPKA70011 Cross-Application Component

SAP_BASIS 700 0011 SAPKB70011 SAP Basis Component

PI_BASIS 2005_1_700 0011 SAPKIPYJ7B PI_BASIS 2005_1_700

ST-PI 2005_1_700 0003 SAPKITLQI3 SAP Solution Tools Plug-In

SAP_BW 700 0010 SAPKW70010 SAP NetWeaver BI 7.0

SAP_AP 700 0007 SAPKNA7007 SAP Application Platform

SRM_PLUS 550 0007 SAPKIBK007 SRM_PLUS for mySAP SRM

SRM_SERVER 550 0007 SAPKIBKT07 SRM_SERVER

We have done all CG configs for above business scenario.

In SWB_PROCUREMENT

we have activated the workflow WS14500026 for both the events i.e.

Bid Invitation Saved and Change Version of Bid Invitation Saved

But when we publish the bid invitation we get the error message

"No approval workflow found. Inform system administrator ".

We also tried in SWDI for WS14500026

without any success.

My question is that Do we need any kind of version activation

or any other processing for delivered workflows?

OR

this error can be due to any other reason?

Hi,

Create another Bid Inv with 'hold' status.

Go to transaction SWB_COND and SWO1

in transaction SWO1 choose business object BUS2200 (for Bid inv) and click on test button. Create a instance and type GUID of your Bid Inv document (you can find this GUID in transaction BBP_PD for exaple).

Compare results with workflow conditions for object BUS2200.

I followed yr instructions.

But frankly could not reach anywhere.

I am sending you detailed screen shots for anaylysis.

Hello Marcin,

For test purpose we deleted the start conditions for WS14500026.

Now in SWB_COND ONLY WS14500026 for change version is shown.

But the BI is submitted for workflow.

Pl. check the BBP_PD screen.

Workflow Item:

and the bidders also got the BI.

But we want to check whether our working is correct.

We think our start conditions were not correct.

Can you pl. guide on that?

Pl. note our initial default start conditions for WS14500026.

&Bid Invitation EC.Last Changed By.Activity Group& CE SAP_BBP_STAL_PURCHASE_MANAGER and

&Bid Invitation EC.Last Changed By.Security Levels& = 4

The email sent to Marcin is in my in-box too

In your case, you are asking when the Bid Invitation is last changed by purchase manager, then trigger workflow. This effectively means, it may never be triggered during initial creation! This may workfor change version, though.

Do you want to initiate Bid Invitation Workflow always ? Then change the conditions so that in all cases you have this workflow. Example:

&Bid Invitation EC.Transaction Type& NE 'SHC'

(The CC was deliberate and not a mistake )

As per yr inputs I have modified the start conditions as

&_EVT_OBJECT.PROCESSTYPE& = BID

and it is working satisfactorily.

Hope my modification to yr example is OK.

Pl. confirm this.

But, as I have mentioned in earlier posts

we deleted all start conditions for WS14500026 for initial BI saved

so now only WS14500026 for change version can be seen under SWB_COND

The new start conditions i saved can be seen under

Start condition without name

will that give problem in future?

How to reinstate the name WS14500026 (for initial BI saved)?.

Anxiously waiting.

Hi Dinesh

Normally, you don't delete. You just inactivate.

I am not sure if you will have any problem (Logically, it should not).

May be you try this:

In PErform task specific customizing-- event linkages-- you deactivate this workflow once. Save.

Then activate it again.

We thought even though we are deleting the start conditions

the name WS 14500026 (for initial BI saved) would be active.

So we tried that way.

Still the name WS 14500026 for change version of BI is active and can be seen in SWB_COND.

In 5.0 they have given these two instances for intial and change version for BUS object it seems.

For us the OOCU path with you have given does not bring any thing.

Hi Dinesh,

It looks Your user don't have SAP_BBP_STAL_PURCHASE_MANAGER role attached.

In transaction SWB_PROCUREMENT click on icon 'Personal settings' (next to glassess icon) and select Condition formatting - display technical settings and Text display - description + technical name.

This option helps you to compare this technical names with SWO1 test object.

Start condition WS14500026 for event Saved and Change version show as the field "Last changed by: CE SAP_BBP_STAL_PURCHASE_MANAGER" and on SWO1 object field Attributes -> CHANGEDBY = DINESHP.

On your first screen (Roles) you don't have Purchasing Manager role attached.

I would start from this..

If I am understanding you correctly your advise is the user creating the BI

should have the role SAP_BBP_STAL_PURCHASE_MANAGER.

So that the start condition for WS14500026 will hold good.

But as per our business scenario the user creating BI should be

SAP_BBP_STAL_STRAT_PURCHASER

and we do not require approval at BI saved stage

hence I modified the start condition as

&_EVT_OBJECT.PROCESSTYPE& = BID

and the BI is now submitted to WF and can be seen and responded by

bidders also.

Hope my new start condition is OK?

Only is the process I deleted the original start conditions for test

and later on created the one mentioned above.

In the process I lost the name WS14500026 (for BI intial saving)

WS14500026 for change version of BI can be seen in SWB_COND

My newly created start condition is shown as

Start condition without name

Ramki has suggested me to reactivate the same in OOCU

but my OOCU screen does not show anything.

pl. help.

Try also deactivate this start condition and add new with some values who will always be true (for example: &_EVT_CREATION_DATE& >= 01.01.2004)

Don't forget to synchronize WF buffers in transactions: PPWFBUF and SWU_OBUF.

Hello Ramki,

You were right.

I had forgotten to check authorisation for strat purchaser user ID.

The Basis had done some changes for roles.

Thanks once again.

One last thing,

pl. confirm whether my new start condition for

WS14500026 is OK

&_EVT_OBJECT.PROCESSTYPE& = BID

Your new start condition is fine. But, remember that it will not work for transaction types other than BID. Try using the one I had given you (e.g. Instead of using BID, use not equal to SHC so that it's applicable for all)

hello..Ramakrishna..

we are facing some problem..problem is after creation of bid invitation mail are not going to bidder..mail are not at all generated.

We are using SRM 5.0

Is there extra configuration needed while upgrade from SRM 4.0 to SRM 5.0

please help
