Hi Vishal!
1. PGI means Post Goods Issue. As the terminology goes it means that the goods are ready for posting that is transporting to the customer.
2. By doing the PGI you have stated that the picked qty is ready to be transported to the customer. And only if PGI is done, can you do the billing.
3. In the Delivery Document [VL01N] when you have filled the picking quantity against the ordered quantity you do the PGI.
If the pick up qty field is grayed out means that there is some condition which triggers the pick up qty automatically. for e.g. if you are using the lean warehouse criteria, then you will have to post the sales order document in the T Code LT03 to enable the pick up qty in you delivery document [VL01N]. In this case the order qty is directly entered against the pick up field which equal to the ordering qty. After this step you could do the PGI.
