Down Payment for Delivery Related Sales Order

Hi Experts,

My questions are related to the following forums -

Our scenarios are -

1) Created Sales Order was already proceeded (in production / procurement) or delivered BEFORE receiving the deposit / down payment (proceeded by Finance).

2) We would like to block the Sales Order being proceeded (e.g. stop proceeding MPS / MRP for the SO item) UNTIL the deposit / down payment has been received.

3)  We would like to block the Sales Order being delivered (e.g. stop proceeding DN / GI) UNTIL the deposit / down payment has been received.

According to the forum http://scn.sap.com/thread/1687491, I can setup the configuration and the the flow can be changed as below -

1) Sales order (va01)

2) Down-payment invoice with ref to sales order(vf01)

3) Delv with ref to Sales order (vl01n)

4) Final invoice with ref delv doc(vf01)

Q1) Even if I have followed to change the above configuration, is it possible to have controls in SO and solve my above scenarios 1-3 ?

Q2) For the Sales Order processing, i.e. Standard Order, is it possible to use the same Sales doc. type to proceed the orders with and without Down Payment ?

Q3) Is it possible to check the Down Payment in doc. flow of SO, DN or Invoice after the Down Payment has been created (using Billing type "FAZ") ?

Pls kindly help to advise my above questions.

Hi KH,

For similar type of requirement, we had captured Down Payment via F-29.

Based on Special GL Indicator at GL level, we can control that should Credit Check consider that amount for checking or not.

Maintain your Customer's Credit Limit only 1 Unit in FD32 as we are considering we do business only in advance with that customer.

Sales Order will go in Block and Delivery will not happen until complete amount has been received as Down Payment in Special GL.

About your questions,

Q2) For the Sales Order processing, i.e. Standard Order, is it possible to use the same Sales doc. type to proceed the orders with and without Down Payment ?

- You can use the Same sales document type for both. Just Copy control is required. In VF01 you can select your Billing type manually.

Q3) Is it possible to check the Down Payment in doc. flow of SO, DN or Invoice after the Down Payment has been created (using Billing type "FAZ") ?

- If you have created Billing document with reference to Sales Order, you will be able to see the same in your document flow.

Thanks for your advice. For your above soulution -

How to maintain the Customer's Credit Limit "only 1 Unit" in FD32 ? As far as I know, we can only set Credit Limit as value instead of unit.

If using your above method, does it mean that we should set the "Delivery value" as Credit amount (not the "Sales Order value") ?

Dear MJ,

One more question -

If using your above method to block Sales Order delivery (suppose "1 unit" or $1 can be set in FD32 for the Customer), does it mean that users will have to unblock the Sales Order items using VKM4 so as to create Delivery note ?

Hi KH,

You have got it right, I am suggesting to use 1 $ value for Customer in FD32.

Below Sequence will be followed :

Advance booking:

  • When customer will pay in Advance, F-29, the same will be updated in Special GL against, Special GL Indicator as Special Liabilities. (This will be shown in FD32 also).
  • That Special Account should be applicable for Credit Check. (FI person will help)

Order processing:

  • Customer Places an Order.
  • System will check (Special Liabilities amount + 1 $ credit) at the time of Credit checking.
  • If advance amount is covering Order value, Order will be able to go ahead for delivery.
  • Other wise it will go in Credit Block.
  • If things are fine, By VKM3 order can be released.

Invoice Clearance:

  • Invoice Clearance will be done against the value of Special Liabilities by FI people
