Workflow approval delegation & workflow control

Hi all,

We are using CLM Wave 9.0 system and I have the following questions about workflow delegation & workflow process control:

1. Is there a approval delegation functionality?

    Usecase: Approver is going to go on vacation and wants to route all his new approvals to another person

2. Routing approval tasks after the fact:

    Usecase: Approver went on vacation without turning on the Delegation (assuming #1 was possible). There are pending approvals in this current approval list. As a system admin we want to route all his/her approvals to another person.

3. Workflow control by system admin or process owner.

     Is there any fucntionality where system admin or process owner can override the pre-determined approver and route it to another approver?

HI Manoj ,

The features mentioned in point  1 and 2 are available in Sourcing 9 .

Coming to point 3 , One can always cancel the workflow , and then one shall manually move to the workflow phase. Routing to approver will depend on what logic you maintain in the workflow script.

If you are adding approver based on a certain role. you can always add that collaborator and re route it.

Thanks for your response.

Reading the system documentation it appears that Delegation is only available on the premium package for SAP Sourcing OnDemand. So this functionality might not be avaialbe on the Public system.

I checked in one of the enablement system and found the following:

1. One can assign Delegration in User Account. Which documents can be delegated depends upon the user access.

2. You mentioned that #2 "Routing Approval tasks afer the fact" is also possible. Is it also done via the same delegation functionality? So if someone is on vacation and have pending approvals. Now as system admin one goes and add Delegation to this approver, then all the pending approvals will automatically be forwarded to the new approver (the person who has been delegated?)

3. Regarding #3, you mentioned that one can cancel the workflow. Can you please let me know who & how one can cancel the workflow (what steps are needed).

Hi Manoj,

Our sourcing system is on premise and user delegation is available.

PFB answers

1. Yes you will have a separate tab on every User Account which shall allow selection of what are the documents can be delegated.

2. Yes , all previous approvals would get routed to new delegated approver.

3. One need to go to that particular workflow definition in system who has been given access like system admin  and execute Workflow report which would be available for each and every workflow  then after you will be shown a cancel button , which would cancel the workflow.
