Archiving output documents

Hi All,

We enable archiving of output documents by selection storage  mode  of  2  or 3 in the config of output type.

Now we can modify the above storage mode while creating the actual condition records.

We need to do an assesment as to how many outputs in production are archived and not archived.

The steps we will follow is as below.

1) checking storage mode for each output type.

2) Checking storage mode in the condition record of output type. Here I need to know whether this approach is correct since in NACH table,  for one output type , there can be many condition records depending on the different keys. for eg output condition ZXM1 can have two condition records with storage types 1 for sales org A and  storage type 2 for sales org B . If this is correct approach, then what  validity date shud we give in NACH table for a condition type for each application (V1, V2 etc)

3) we have been told that condition records can  get modified while creating delivery or sales document.  How this is so. Does this mean we need to check in NAST table for each application (V1, V2). If yes, what validity date should we  put in NAST table,

Hi

Run tcode TAANA for table NAST and define your own variant according parameters useful for archiving. It tells you how much records you have for each value.

Hello Eduardo,

Thanks for the reply. But i have certain basic questions on archiving.

1) What actually is archiving as far as sales documents/delivery documents are concerned !

2) secondly what is archived. Are  the output types archived  or are the  prints we take (through output types) archived.

3) If the storage mode=2 or 3 in config of output type, then when creating output condition records, one can change the storage mode too. How this is changed !

4) It is also said that the storage mode can be changed during creation of document (delivery doc etc ). How this is possible ?

Hi,

Please check the Sales Order/Delivery/Billing document numbers based on the output type and creation date from the table NAST.

Please select the relevant values in the file "TDARMOD(where it is eqial to 2 or 3)" in this table and you will get the document number from the field "OBJKY".

Based on the field "KAPPL",you can decide whether it is Sales order/invoice/delivery.

In this way,you can get the number of order with the given storage mode in the given period.

Hi,

You can get it from NAST, Validity dates should be your condition record created date, you can get it from the transaction document ( either sales order, delivery)

NAST is specific to application like V1, V2, V3

maintain the Key fields so you will get the records
