substitute approver can approve his own shopping cart

Hello All,

We are in SRM 7.0 SP11; this was a recent observation that a substitute approver can approve his own shopping cart. This is not the case for other user where they cannot approve their own carts.

The user is maintained as a substitute in HRUS_D2, but as per standard a requestor cannot approve his cart.

We are unable to replicate this in our QA system, but the issue is happening in live system.

Kindly advise if i am missing anything or the standard could be bye passed some way.

You must check approval work item container: in excluded agent tabel: SHopping cart creator/ if the cart is created on Behalf  of any user.

Check this name should be populated in excluded agent tab. If so it will satisfy Substitute criterion also.

Last option is to make corrections in process schema enhancement implementation. But check first customizing settings

Please refer Note 1527897 - Substitute can approve own shopping cart and Note 1540866 - Substitute can approver own document via Approval mail to verify if the changes related to this note is already implemented in your system.

Can you please see if the changes mentioned in Note

1763536 - Approval By Document Creator at SRM 7.0 on is there in your system?  Here is the abstract what i am referring to;

Symptom

• You use Application Controlled Workflow.
• You are not able to add approver as a document creator of the Shopping Cart.
• You get the error message "Employee XXXX is not allowed (document owner):

Environment

• SRM 7.0 upward
• Process Controlled Workflow
• Application Controlled Workflow

Reproducing the Issue

• You Create shopping cart as user A
• At approval preview you try to insert the user A as approver
• The system does not allow this

Cause

• This is the standard system behavior;
• By default the Document creator should not be the approver.

ResolutionSince SRM 7.0 on Customer has the option to insert the requestor as approver.Therefore, please follow the steps below to achieve this:

1. Call transaction sm30
2. Enter Table/View: /SAPSRM/V_SW_ACT
3. Click on the button "Maintain"
4. Select the line SRM_700_APF_APPR_BY_CREATOR with double-clicks or
   select the line and press the detail button
5. Switch the planned status to active and save :

NOTE: This works for both WFL workflow types (AC and PC) after SRM 7.0 on.

Note2: Once you have this switch activated the substitutes can approver their own documents

Thanks for the response.

Well the customizing switch is not in our system but still the user is able to approve his cart.

Is there any role that would provide the user such privilege ??
