We want to change all userIDs, what are the risks and is there a mass up-date option?

Due to organization change, we may need to change the SAP userID for all of our SRM users (about 5000 users, SRM 5.0, classic scenaro).

We maitain all users in SRM org structure (no replication from HR module). Our current process is to create the account (tcode SU01), generate the user (tcode users_gen), and assign the SLA approver (other attributes are inherited).

We can change the userID for each CP/BP via tcode PP01, but:

1) what are the risks and recommendations (e.g. will the users still have access to their old SC?)?

2) what is the best practive to do such a mass change (including for WS work item not completed yet)?

Another addition...

If approver rejects SC, it usually goes to the person, who created SC (CREATED_BY field) not to the requestor (BP role in shopping cart).

Hi,

Adding a few pointers to Konstantin.

The linkage between the User-Position and the Position- Central Person can also be done via the PO13.

The after effects of doing the above would be the User can access the previously created documents only by selecting a Radio Button that holds the earlier User's documents.

Hi Valerie,

Unfortunately, it is hard to give best use case recommendations without knowing of specific customer processes and customer developments.

Normally User has an access to the shopping cart via its business partner. That is why it is important to have the right link between user and business partner.

In common PPOMA structure looks like this (table HRP1001):

As I understood, you want to make following (USERS_GEN generates new CP/BP/S):

I would suggest to change link CP->US instead (may be also S->US, if you use it).

It should be possible via transaction PP01 or via customer report in the table HRP1001.

Another reason not to create a new business partner is an assigning of delivery addresses. Anyway I would suggest do not delete old users from database (may be just lock them).

As for Workflow: you can find a list of Workitems for certain user via transaction SWI5, and forward them to another user with transaction SWIA (unfortunately, only to single user).
