Datamanger Workflow records not syndicating to ECC

Hi SAP MDM Gurus,

There are few material records stuck in  some other user's workflow in Data manager.

Due to this the recent changes are not reflected in other ECC systems.

How can I release those materials from the workflow which is in other's workflow..

Help please Experts.

There are no validation errors.

Sanjana,

Could you let me know the following:

  1. if the workflow, in which records stuck, has un/launched?
  2. if the records are checked out or not?

Note: you can check, if workflow is un/launched in Status column of Task pane of Workflow tab.

  1. If unlaunched, please follow the below mentioned steps:
    • Select the appropriate task in the Task pane of Workflow tab.
    • Right-Click --> Workflow --> Remove From Job
    • MDM will remove the records from the unlaunched job.

  1. If launched, you can try with any of the following option:
    • Contact to the owner of the workflow and ask to:
      • Complete his/her steps for the workflow.

                                                       OR

      • You can delete the workflow job by selecting the workflow job in the Task pane under Workflow tab.
      • Right-Click on the workflow job (which you want to delete), choose Workflows-->Delete option.
      • Click OK button to delete the job.
      • If the record of the job is checked out, MDM prompts you to check whether you want to Check-In or Roll-Back the record, select Check-In.

    • Contact to the Admin user of repository and ask to:
      • Complete required user's steps by performing appropriate actions.

Note:

  1. If the workflow contains business specific validation/assignments, I would suggest to wait for owner or contact to the concerned person to complete steps.
  2. Note down the records number, so that user can run the workflow later.

Special thanks to all of you guys for ur response.

I have worked on it and deleted the workflows and rechecked in.

It was resolved .

Hi Sanjana,

As already suggested you can try either deleting the job or assuming control and completing the workflow job.But before you do all that it would be worthwhile to note -

  • Workflow step - Is it at some approval step.If yes,should it be approved based on data entered.
  • Data completeness - Well you would not like to release a data that fails in the target system so have  a look at completeness of data before processing further.
  • Workflow status - Is the workflow in ERROR state,manually doing a PERFORM would resolve this.
  • Workflow Step Owner.

The above would help you  take call whether to go ahead and Checkin or Roll Back the workflow.

Hi Sanjana,

Log into Data Manager through Admin ID.

-Go to workflow tab.

-Right click on the required job ID ans select the option "Assume".

-Now process the remaining workflow step (syndication step) though your ID.

Another solution is:

-Right click on the required Job ID, select the "Delete" option and check in the record.

-Now go to MDM syndicator, log in through Admin ID, and manually syndicate the record you want to.

Revert back in case of any doubts or queries.

Hi Sanjana,

From your statement i suppose the records are in some launched workflow and is stuck at some step with a user. And you want to release those records so that syndication can be done to synchronize the data to ECC.

As suggested in above post, try to delete jobs if you want do not want the other workflow to be completed. You can login as Launcher of the Workflow/Admin and delete the Workflow job from Data Manager Workflow tab. If you are checking out records in the workflow, then system will ask for your confirmation to Check-in or Roll back the changes of the records in your launched workflow, you can choose the option which will suit your requirements.

You should note down the records which are released from the workflow so that syndication can be done as desired.

Now, once the records are released, you would need to syndicate those records to ECC. If you have employed auto syndication and records are fulfilling the Filter criteria, then well and good. Else you would need to Syndicate the records manually using suitable Search Filters.
