Doc Management in external server SAP PPM

Hi Gurus,

I have a requirement to attach several type of Docs to project definition level in development project types. The problem comes when a second requirement to store the documents externally (in the customer external server) comes.

- Document tab option to Store Document like URL does not work because the path stored is incomplete and cannot be accesed with click on the link

- DMS integration is nonsense as the only requirement is to upload link to external stored docs in project definition level

Any idea on how to solve this issue?

Hello Hector,

Check-in with URL is the best option in this case, when you click on "URL for Document" complete URL path should be displayed. Can you provide the URL information or a screenshot of it ?

Hi Charith,

The following steps are followed to check-in with URL and in the attachment you can see the URL that the system retrieves when pressing button "URL for Document".

1- Select file and checking-in as URL

2-     Document link is saved

3-     When retrieving URL for document, this is shown. I have noticed than when copying and pasting URL path to browser docs and images are accesible, but this doesnt really meet customer requirements as he wants one-single click on link to access doc, file or image.

Is there any way to access file with single click on the Link??

Hello Hector,

The only other option is by using KM instead of KPRO. To use KM, please make the customization change SPRO

SAP Portfolio and Project Management

     > Portfolio Management

          > Global Customizing

               > Override Global Settings

0007    General Default Values    0022    Document Alignment

Keep this setting as empty which ensures PPM to load KM screens. You can store files/documents in these KM screens.

Hi Charith,

I followed custo steps for using KM and nothing happened. Same screen for uploading documents is appearing in the project document tab.

-  One really strange thing is that .pdf files are opened when clicking on them as you can see in this screenshot, but not with any of other files.

Hi Hector,

When you switch to KM, the screen will just be having a link "Open Documents Folder" instead of how it is shown in the attachment.

This might be because you have not setup KM. Please follow the note 1406590 to setup the KM and also search for relevant notes in KM area if there are any new changes required.
