CFolders intergration with SRM

Hi All,

We are trying to integrate Cfolders with the bidding engine in SRM.The following is what we did

The information below was obtained from a thread posted by justin and followed up by Amit

In SRM

1) Define RFC connection for cFolders system in SM59(with connection type as 3 and proper log on authorizations)(Pl ensure that you should be able to enter in cFolders by using "remote log on" once the RFC connection & other necessary settings are maintained)

2)As mentioned in previous mail by Masa, define cFolders system as backend system. (fill in the required details like logical system, destination, system type as PLM cFolders.....)

In cFolders:

1)Create RFC users for connection between SRM and cFolders with role SAP_CFX_USER (The same should be there in SRM and to be used for RFC connection in SRM)

2)All the users should have the same user Id in SRM and cFolders. Similarly all must have the role SAP_CFX_USER assigned (to have collaboration access).

My question is .How do i see the link "folder"in SRM.My understanding was that i should be able to see it in the documents section of Bid Invitation .In other words how do i bring up the link and enable this functionality .Any comments on this topic will be highly appreciated.

Thanks and Regards,

Rachel

Hi Rachel,

All the integration details between SRM and Cfolders are clearly specifed in the sap help for SRM.

You can find help under -

SAP Bidding Engine --->Purchasing ---> Creating Bid Invitations ---> Integration with mysap PLM cfolders

Answer to your question ---> you should be able to see the documents stored in PLM under the collaboration tab of BID documents.

Integration with mySAP PLM cFolders

Purpose

SAP Bidding Enginesupports integration with mySAP Product Lifecycle Management (PLM) cFolders 2.0 or higher. Once mySAP PLM cFolders has been installed, purchasers can create a folder there to store information and share it with potential suppliers. A template function is also available for both parties. This information includes, for example, specifications and design documents on particularly complex goods or services for which a bid invitation is being issued.

Bidders can store information about their offer in a private area of the folder. From here, it can be reviewed by the purchasing side and the bidder in question. Confidentiality is assured as the information is accessible only to those parties.

Prerequisites

· You have installed SAP Bidding Engine.

· You have installed and configured mySAP PLM cFolders Release 2.0 or higher.

· You have ensured that any users that are defined in both systems have exactly the same user name in each system. If this is not the case, the system is unable to identify which users are involved in which folders and bid invitations.

· You have established the RFC destination between SRM Server and mySAP PLM cFolders in the mySAP Supplier Relationship Management Implementation Guide (IMG) under SRM Server → Technical Basic Settings → Define RFC Destinations.

· You have defined the mySAP PLM cFolders system in the mySAP Supplier Relationship Management Implementation Guide (IMG) under SRM Server → Technical Basic Settings → Define Backend Systems. Here you have defined a logical destination using the system type PLM cFolder from Release 2.0 and the RFC destination you defined above.

We recommend that you install Single Sign-On so that you can switch more easily between the systems.

Process

The following figure shows the points of integration between mySAP PLM and mySAP SRM:

The purchaser creates a bid invitation in SAP Bidding Engine and then creates a collaboration for that bid invitation. The purchaser can do this under Collaboration in the Documents area of the Header data tab page in SAP Bidding Engine. When the purchaser chooses Create, a folder is set up automatically in a public area in cFolders, as part of the competitive scenario.

It is important at this point to save the bid invitation by choosing Held. If the bid invitation is not saved and subsequently gets lost, the link to the folder in cFolders will also be lost and you will be unable to retrieve it.

The purchaser goes to the collaboration in cFolders and invites the engineers on the purchasing side to place all the relevant design and specification information in the folder for potential bidders to view. Only the purchasing side can make changes to the public area of the folder.

When potential bidders access a bid invitation, they can see under Collaboration on the tab page Purchaser Information whether or not a folder has been created for that bid invitation. If it has, they can follow the link to the folder in the public area in cFolders, view the project information, and decide whether they wish to submit a bid.

Once a bidder chooses Create bid, a private area is created automatically in cFolders and all the data is copied from the public area to the private area.

In this private area, bidders can place all the information surrounding their offer, and revise and update it at any time.

The purchasing side determines a winning bid.

All project participants on both the purchasing and supply sides can access the work area in cFolders, and add to and correct the data until all parties have agreed on the final and binding specifications. Methods for working together include:

· Documents

· Bookmarks

· Data sheets

· Discussions forums

The link to cFolders is included in the bid and also in the follow-on purchase order or contract. The collaboration area remains open, allowing the purchaser and the supplier to fine-tune the design documents even after the winning bid has been determined.
