Integration of Asset Module with Plant and Maintenance

Hi

We are implementing SAP for a huge manufacturing company. There are huge machines in factory. Hence we are implementing Plant and maintenance module also.

As far as i know there is some integration of plant and maintenance module with assets (in terms of equipment number we enter in asset master). I want to know this integration part in detailed manner.

Please help me with link or some material.

Hi,

Gourav and Ketul have given a very detailed mapping of Asset-Equipment integration.

When you bring SAP into play, the old machines would have completed their depreciation cycle.

For those which are still under this cycle, synchronisation can be used.Kindly ensure internal numbering of equipment and as suggested, first create the asset, which will generate equipment.

For new assets of same type eg. compressors-x nos., asset sub number can be used, which in turn will create x number of equipment and tracing will be easy.

By means of work flow, for new purchase, an asset class AUC (asset under construction) is created. When the equipment is commissioned, a 'start-up-date' is entered in the equipment master, and this in turn converts AUC asset into permanent asset and the master is updated. This needs to be checked with FI personnel for config settings and user exits.

Hi Deepak,

Before you move ahead with a decision to integrate Asset Masters to Equipment masters as explained above, you will have to keep few things under consideration.

Firstly, please look at the existing asset master of the client. It is generally seen that group of machines are clubbed as individual asset. For e.g. if they have purchased 2 compressors at the same time, they do capitalize them as single asset. I'm sure, you will be creating these 2 compressors as 2 equipment, right? This is where we end up having mis-match. As client has taken depreciation down the line, it is not easy to bifurcate. If they want, they will have to consult their auditors advice and then do an asset revaluation, which will in turn give you 2 asset numbers. It will then be possible for you to have individual link up.

If they have maintained assets individually, it is ok moving ahead with asset to equipment match. Here is another twist to the story. I'm cent percent sure that you will not have one-to-one match for all equipment to asset. At the end, you will have a list, which will have asset to equipment link. 2nd list will be those equipment, for which, you could not find matching asset. And 3rd asset list for which, you could not find matching equipment.

As per the above mentioned message, if you want to generate equipment number from asset, your FI colleague has to upload asset master first, which will in turn create equipment for you. You can then update the equipment master with the pending details such as plant section, planner group, etc. Rest of the assets, wherein you couldn't find matching equipment but, they do fall under the 'Plant & Machinery' asset class, your FI colleague will have to temporarily disable equipment creation and upload the asset master. I hope you are getting this.

Lastly, the pending equipment can be uploaded for which, you couldn't find matching asset through LSMW/BDC.

Do remember, when you create equipment from asset, synchronization functionality works. It will not work, if you manually link equipment and asset.

Hello,

We are implementing PM Module and facing same kinda confusion. Got some idea from your reply. Now, if we create an asset like; Generator, it has some mechanical and electrical parts. How could we trace this parts individually? While creating asset or at the time of giving information for equipment??

Asset Equipment Linkage can be set in SPRO setting:

In this you can specify Equipment Category and/or Object Type of Plant Maintenance Object to be linked of which Asset Class of Asset Accounting.

This assignment determines the following when you later create an object (for example, an asset master record):

  • Whether a dependent object (for example, an equipment master record) should be created automatically

  • How this object is categorized (for example, which equipment category is used for the automatically created equipment)

Then you specify how the dependent object is to be created. Here there are two options. The object is created:

  • Immediately once the original object is saved (that is, by the system)

  • With the extra check of a workflow event that is triggered when the original object is saved (that is, after a workflow is executed by a user, giving opportunity for checks).

From the perspective of Asset Accounting, you can choose one of the following settings for the creation of equipment master records under Edit Asset Master Record:

No synchronization

When you create the asset master record, the system does not propose an equipment. If you decide to manually create equipment master records for the asset, then the system does not synchronize the master data in any way.

Direct synchronization after saving

When you create an asset master record, the system proposes an equipment. When you save the asset, the system automatically creates the equipment master record for it, and establishes the link between the two master records. Later changes to the asset master record can be reflected in the equipment master record, as well as vice versa.

Saving triggers a workflow

When you create an asset master record, the system proposes an equipment. When you save the asset, the system triggers a given workflow event. The results depend on the specifications in the assigned workflow. For example, it may require notification and approval of a responsible person. When the workflow is executed, the system normally created the equipment master record for it, and establishes the link between the two master records. Later changes to the asset master record can be reflected in the equipment master record, as well as vice versa.

Direct synchronization plus workflow

When you create an asset master record, the system proposes an equipment. When you save the asset, the system automatically creates the equipment master record for it, and assigns the asset to it. At the same time, a workflow event is triggered.

Following is the path where you can find the required settings:

SAP Customizing Implementation Guide>Financial Accounting (New)>Asset Accounting>Master Data>Automatic Creation of Equipment Master Records-->Specify Conditions for Synchronization of Master Data
