steps to enter Q2 notification

Can anyone explain me the right steps to enter Q2 notification. Means on item level - Overview, cause, task, activates and then Header level Task and activates.

Hi Siddharth,

Following is an example of a full QM Quality Notification lifecycle:

1.Defect is identified, it can come from various sources

2.User enters the defect information into SAP Quality Notification summary screen. The end user needs to provide the details of the incident.

3. Notification Coordinator is monitoring existing and new notifications, they see the new notification.

4. Notification Coordinator does an immediate assessment to determine what type of action needs to be taken.

Also, they fill out more of the notification from the entered summary information:

a.Priority

b.Defect codes

c.Defect Locations

d.Contact Persons

5.If the defect requires corrective action then the Notification Coordinator assigns Tasks to applicable departments with due date.

6. The departments are running the Notification Tasks Work List periodically throughout the day. When they find a new task they set its status to u201CIn Processu201D and assign it to a person.

7. As each task is completed the department will enter what they found during their investigation into long text and set the task User Status to Complete.

8. The Notification Coordinator is monitoring tasks that are complete. When they pick up the task they will look for completeness, if it is not complete they will set the User Status to u201CReworku201D and push it back to the department. If it is complete they will set the task System Status to u201CCompleteu201D.

9 The Notification Coordinator reads the long text and extracts the Root Cause information. Also, the Activities that were performed to correct the process are identified.

10. When all the tasks for a notification have been completed and the Notification Coordinator is satisfied, the coordinator will send a Task to the Approver for final review and closure.

12. The Approver periodically go through the day runs the Task Work List to see if there are new task for notification review. When satisfied they will set the notification to u201CClosedu201D.

Better you can use 8D report.

The 8 Disciplines (8D) process is a problem management tool popularly used in responding to complaints or issues.8D methodology uses a structured eight step approach to problem solving. The output of an 8D process is an 8D report.

An 8D report is a standard form that is used in the automobile industry to document the correction of defects. For example, as an automobile manufacturer, you can use this follow-up function to request an 8D report from a vendor to receive a statement about the confirmed defects and how the vendor intends to correct the defects.

You can use this function to create an 8D report for a defect while processing a quality notification. When you save the notification, the system prints the 8D report by means of a corresponding follow-up action.

Using the 8D-Methodology you can achieve

􀂄 Limitation through immediate corrective actions

There are 2 levels for task & activities. Task Mentioned at header level is the immediate action to be taken and the task at item level is the preventive action to be taken.

Overview:

Under overview you have to enter the following

1. defect location

2. defect type

Problem or Damage Code for the particular material.

3. Defect Class

Categorizes the possible defects into classes according to a defect valuation based on the results caused by the defect.Defects are usually assigned to one of three classes: critical defect, major defect, or minor defect.

Cause:

A reason or event that led to the occurrence of a notification item. A cause item contains the following information:

1. Code group

2. Code

3. Short text

4. Long text

You can record one or more causes for an individual defect item.

Task

Using tasks, you can plan the way in which various people work together to process the notification and perform the activities within a specified period of time.

A task might consist of a follow-up action that notifies the author of the notification of production-related defects. A task status informs you of a task's current processing stage. You can set the statuses for a task like released, completed, successful etc.

Short Text for Task

Short description of the task that is to be performed in order to rectify the problem or notification.

Activity

It documents an activity that someone has performed in the process of solving a notification problem.

You can enter the following data for each individual activity:

u2022 Key for the activity that was performed and a short text that can be changed individually

u2022 Start and end of the activity

u2022 Quantity factor for the activity

Hi Hari,

I got the point but my doubt is who will and what enter first.

After entering refrence object,suject on item level (overview,cause,task,and activites) or he will enter Task at header leval or item level?

and in which he will proceed.
