Correspondence through email

Hi expert,

When sending customer reports through email, suppose a customer having more than 5 email ids. Is it possible to send the reports to all of them?

Please suggest.

Dear:

You can have multiple email address in XD01 , but not in the same field-against to this filed you will find Icon with the "arrow" mark- just click on it & Choose "+" Icon to add email id's as required.

for each email id system assign ID number. The problem here is that standard output or work flow limits the email to be sent to the one that is marked "default" - which is a mandatory field.

For sending mails to multiple addresses defined you will have to go for Z program.

Hello Aburose,

I would offer the following recommendation for Customer (external) email addresses:

Have the Customer establish and maintain a 'Distribution List' (group) email address within their own organization.

  • The distribution-list can then be managed by the Customer.

  • The Customer can quickly add and remove users/groups from their own distribution list, as their requirements change (staff vacations, jobs changes, etc.).

  • No imposed limitation on the number of email addresses associated with the Customer record, by your organizastion.

Your organizaatoin would assign the external organizations 'distribution-list' email address to their customer record, for the purpose of email correspondence.

  • If you assign a distribution-list email address to the Customers record, rather than an individual users email, your organization should rarely need to change it (because the customer can change it).

  • There could be more than one distribution list for different processes. For example:

- shipping@<customer.com>; or

- accounts@<customer.com>.

When your organization sends email to the customers 'distribution-list' email address, it goes to whatever personnel the customer has assigned to the distribution-list (which may be 1 or 100 people).

Benefits:

$ - No code/customizations to write or maintain.

$ - Off-load the effort of maintaining email addresses to the customer, where it belongs (staff vacations, job/employee changes, etc.).

$ - Minimized contact/impact on your organization to manage the customers email addresses, which also translates into beter service, as the customer isn't waiting on you to change/correct their info.

Hi,

Standared Correspondence read Email field from Customer master company code date (KNB1-INTAD) Correspondence Tab "Clrk's internet" field.

we can able to maintain only one email id for correspondences. If you want to send correspondances based on Genneral Data information, build logic with help of ABAPer.
