Duplicate Entries

Hi Everyone,

When will the system prompt me that I entered same record, which is already exists in the system with another personnel number.

How will the system comes to the conclusion that same data is already exists for some other personnel number. Is there any particular field where it compares with existing field with new field?

It is all in built which compares records and throws error for duplicate records.

It depends on the record you talking about.

Actually my client is asking this, he has created two different personnel numbers with same data and system has taken it. now he is asking how to restrict this?

According to the nature two people can have the same data (Eg. Twins having same name, DOB, nationality, etc. etc.)

Ask the client what is the differentiating factor to restrict the entries into the database.

Except for Personnel ID's like Passport number, SSn number, personnel Number you cannot help.

Thanks for responding.

If you want to restrict with passport or SSN number this is good but it will not be applicable for low grade employees, especially workers who dont have passport or SSN number.

Is there way to restrict the duplication.

Find out what is the unique identification factor in defferentiating persons.

It cannot be Personnel Number because u r looking at the time of hiring.

Ask the Client what is the unique identification he wants to defferentiate for people hiring.

It can be mobile number or email ID also.

Sikindar How about workers who dont have any thing either passport, SSN even mobile number.

OK Ravee lets take father name as identify for duplication, how should we do that in SAP. will it b a tech work?

Father Name and mother Name can be same for the case of twins working in same office.

Ask the client the defferentiator instead of you breaking the head.

if it for india Fathers name also can be same in that case how abt useing "Maiden Name" of fathers or Mothers

Details of Father & Mother can be same for TWINS (Even grand fathers and Grand Mothers) for TWINS.
