Excel (In existing XXL Format) option is unavailable

Hi SAP Experts,

While extracting KSB1 Cost Center Actuals report in spreadsheet format (using spreadsheet button and not Local file), the user is unable to get the Excel (In existing XXL Format) option.

MS-Office has been already installed in the users' desktop.

I will be thankful if anybody give pointers on resolving this issue.

Is it possible the user previously did an Export to Spreadsheet (from KSB1 or any other ALV display) and selected a different format and checked the box "Always Use Selected Format"? If so, have the user do the following:

Have the user run KSB1 or any other transaction with ALV output.

After data is returned, the user should right click on the data and select "Spreadsheet...".

The user will get the pop-up to select the format. The user will not be able set the "Always Use Selected Format" check box at this point, but they will be able to select "All Available Formats" -> Excel (In Existing XXL Format).

The next time the user runs an ALV report and downloads to Excel, they will get the Select Format pop-up again. At this point, when the user selects "All Available Formats" -> Excel (In Existing XXL Format), the user can also check the box "Always use Selected Format" so that they do not have to select a format again - all exports from Excel will be in the "Excel (In Existing XXL Format)".

You can use the shortcut key Ctrl+Shift F7 to download and the same time use the extension .xls while saving the file.

Please execute KSB1 , go to menu List...Export...Local File....Spreadsheet. Your report will be downloaded with XXL format.
