Requirements for implementing SAP DMS

Hi all,

My client want to implement SAP DMS. I am new to SAP DMS. They asks me about "the server sizing and what are all the information required to do an SAP DMS implementation.

My question is what are the requirements and informations are to be collected for SAP DMS before implementing.

Kindly reply in detail.

Dear

Installing the SAP DMS requires a little bit of planning on how you want to do it.

You have to give a little thoughts to stuff such as :-

1. The total numbers of documents that will be store monthly.

2. The average file size of each documents.

3. The capacity of your present R/3 system.

4. Your present network bandwidth.

5. Document Archiving Strategy.

6. Backup and Recovery Plan.

Additional purchasing of hardware are required, especially if you have large amount of documents to stored.

With this in mind, you can then decide on how you want to do it.

You can do this in a few ways :-

1. Import the documents into the R/3 system.

2. Use an external document server.

3. Have a dedicated PCs where all the documents are stored.

Most companies that intend to used DMS will opt for Option 2 as they does not want to overstretch the R/3 database.

Options 1 requires you to setup the conversion interface.

The conversion interface allows R/3 to automatically covert your files and import it into the R/3 database.

It is all about what type of docs the business is handling, where to store, how to store and who or how can that be archived..!

Also identify areas of operation alongwith userbase breakup and frequency of usage, This will help identify if cache server is needed.

It is also useful to know if customer is using already R/3,DMS is compatible. If no R/3 is there,you can think of using othe tools like Documentum etc.

Since its a very generic query, below are some of the areas along which you may wish to begin studying about during the Feasibility Study Phase prior to DMS implementation

Business process, area of operations/locations

Nature of documents, classification of key documents, usage pattern

User base,current storage facilities and volume of documents

Which business objects are they associated with?

Do they follow a life cycle?

Responsible teams/owners for document processing/creation

Standard attributes for each doc(owner,description,version etc)

Average number of documents that will be generated monthly

Document archiving strategy

Backup and recovery plan

The average file size of each documents

The capacity of present R/3 system

Your present network bandwidth

and so on...............

Please note that the above list is not exhasutive. You may definitely have to add to these other relevant queries.These are only some of the indicators on which you may build your case for implementation.
