SRM PPS or Records and Case management in ECC

Hi!

I work for a customer in the public sector that would like to handle complex RFX in the SAP systems. The system support that they request are the following:

Control the RFx process in a case

Classify the case depending on type of RFx

Ability to set different statuses to a case

Flexible definition of people who should be involved in the case and workflow support based on statuses of the case and predefined routes.

Access to dokument templates in the case

Control of authorisation so that only pinpointed people have access to information in the case as long as the RFx is not completed and information about the RFx can be shared.

Collect all information connected to the RFx process in one place for easy access when information is requested from outside

We would like to evaluate the following options.

1. Use of the SRM PPS solution with records management with of without the use of document builder. As I understand this process Records are created in records management when they are created in SRM and can be viewed and reported on in Records management.

With this solution, what are the options to use other functionality in case and records management to support the process of preparing a public tender?

Is it a necessity to use the document builder?

2. Use of the SRM solution without PPS but using case and records management in ECC as starting point for an RFX process to prepare the RFx material and then later link the transactions like contracts, PO, etc in SRM or MM to the case.

Is this a viable option? If we want to use SRM for business documents and link them to the case, is PPS required?

Anyone who would to like to share his/her thoughts on the subject?

Dear Christine,

One does not need to use PPS to make use of RM with SRM as such. But using PPS integration makes record & case creation automatic. I expect this would be one of the requirements for you hence, PPS sounds better. If programming is not a big issue & manual creation & addition of objects is something that users are fine to do(instead of objects being linked automatically etc) then RM with SRM independently would be a good option. It also leaves you flexibility to manage things as per your requirements.

Addition of objects etc can be done from RM screens. You can add button in SRM screen to navigate to the relevant record or case.
