WS suffixes limitation

Hi,

We are currently creating workstation application. We have done the same successfully for AutoCAD docs,Office 2003 applications and pdf. Now, there is a challenge. We ave to also create WS apllications for Office 2007 documents. But we have already used the suffix for doc,ppt etc. And the limitation of suffix is 3 characters only. Can we do any other workaround/alternate solution. Please provide inputs,

SAP DMS supports all the file formats of Office 2007. But due to the fact that this change in file format is a very new one and the latest SAP Releases ERP2004 and ERP2005 were released some time before, the customizing field 'Suffix' could not be enlarged to four digits. So it is only possible to maintain suffix values like 'doc' or 'xls' and therefore the 'old' extensions were used if you display or edit an original.

For furhter information please take a look at the SAP note 1147660.

To add to this, it is possible to preserve the actual extension, but at the cost of losing the ability to rename the file; though it could be argued that this shouldn't be allowed anyway from a document control perspective.

To do this, go to DC30 and tick the "NoRename" option for the given "Workstation Application" (i.e. Appl). Save changes and you're golden.

As a reference, here is the F1 documentation on the field:

Indicator: no renaming of temporary file

When you display an original application file that is stored in a secure storage area, this indicator determines whether the file can be renamed.

Use

To display an original application file that is stored in the SAP database, a vault, or an archive, the system creates a copy.

  • In the standard SAP System, the copy is assigned a name according to the naming convention defined in the program.
  • Some viewing programs can only find an original application file if the copy of the file has the name that the file had when it was saved to a secure storage area. In this case, the naming convention links the redline file to the viewer file.
If you set this indicator, the copy is assigned the name that the original application file had when it was saved to the secure storage area.

Procedure

Only set this indicator if your viewer application does not allow renaming of the file.

Hi Lisbeth,

SAP DMS is supporting offcice2007 documents,so don't worry about it. Only you need to define mime types in DC30 for these types like for docx,xlsx..etc. Mime types are diffrent for 2007 than 2003.

Now answer to your basic query. Maintain suffix as dox,xlx,ppx..etc. for 2007 as limitation of 3 characters. This will not affect the system performance at all and your purpose will get survived.

I hope this will resolve the query.

Also implement SAP notes 948177 and 967839 to bring in a tighter file format check into your system prior to document check-in.

Hi,

For win 2007 u can assign file format as *.docx in file format field for word doc.

There u must have *.doc entry .Add *.docx entry seprated by comma.

System will recognize this new format whenever u work with win 2007.
