easy DMS

Hi,

We have DMS in our company which users are accessing through SAP GUI. Now we are planning to add 30 more users across various locations(30 users in 30 locations). These people will access and perform basic functions only ok. Now,

1. Is SAP Easy DMS a good option for these 30 users? Why?

2. Will only windows explorer be needed to enable access through SAP Easy DMS? Or separate license needed?

3. How will users process documents?Do we have to install only ECL viewer in all these 30 systems?

4. As the network speed is 2 MBPS and as these 30 users are in 30 different locations, do we also need to setup cache server?

Further,before you install SAP Easy Document Management, check whether your PC fulfills the below requirements.

Hardware requirements:

Free disk space: 20 MB in the standard program folder, for example C:\Program Files

RAM: 128MB

Screen resolution: at least 1024x768 pixels

Software requirements:

Microsoft Windows 2000 with SP 3 or

Microsoft Windows XP with SP1 and

Microsoft Internet Explorer 5.0 or higher

Microsoft Office is supported as of version 2000, but this is not a prerequisite for installation.

Install SAP Easy Document Management on every PC on which you want to use it.Start file setup.exe from the installation CD and follow the instructions in the dialog boxes.Once open, SAP Easy Document Management automatically guides the user through the logon process. When you open SAP Easy Document Management in MS Explorer, a connection is set up to the SAP system across the SAP Easy Document Management interface.

My opinion.

It is even good for few thousands users in different locations. Compared to SAP DMS, its very user friendly.

2. Will only windows explorer be needed to enable access through SAP Easy DMS? Or separate license needed?

You need only windows OS to run it. ITs free as part of ERP license.

3. How will users process documents?Do we have to install only ECL viewer in all these 30 systems?

ECL Viewer supports only certain formats (note 1086427 ). It does not support word / power point etc. However it will support cad files.

4. As the network speed is 2 MBPS and as these 30 users are in 30 different locations, do we also need to setup cache server?

That depends on the network connectivity. However in any case, the performanc will be at par with the SAP DMS system. (sometimes faster as it uses ftp / http to upload files directly).

My suggestion would be to install this on a test system and perform some basic operations like checkin checkout files to check performance and clarify your doubts.

Please find below answers:

1. First bandwidth for the locations from where users are going to access documents should be same as on central storage location. Ohterwise need to install cache server. Discuss and confirm with basis team.

2.Easy DMS is not good option for them as it has limited features compare to sap dms. Errors or issues may come foraward if you use easy dms.

3. ECL viewer required to see cad files only. If you are using doc,xls and pdf then ECL viewer not required.

4. Licence is reqiured for any new user in ECC or DMS ior Easy dms. Licences are independant to module.

As i said, users are going to perform limited activites. Could others confirm that using eDMS will throw up errors

What if users do not have any software installed on system? No MS Office,no CAD software. Will ECL viewer then be enough?

Licence is reqiured for any new user in ECC or DMS ior Easy dms

i dont think we need license fees to be paid becuase we have ECC 6.0 already installed for enterprise

Hi,

1. yes bandwidth might cause a delay in retrieving documents, .where u have single storage location site and access from different regions

2. The only problem that you might face when the number of documents grow in a single folder structure or the hierarchy is huge and deep, that time displaying the folder structure takes huge time.

suggest you to test easydms for volumne and retrieval time from different locations first and then finalise on it.
