Workflow in BW SEM/BPS

Hi Experts,

We are working in a solution to provide access for external users from sister companies to enter some plan data using SEM/BPS in BW (3.5).

This planning data is is very critical and we want to ensure that the management of these companies are aware and approving this data. Is it possible to integrate an SAP workflow approval to manage this solution?

Iu2019m thinking about a scenario where a nominated user should first enter the plan data, save it as plan version, and then submit for approval for his manager..Etc...

Any documentation on this regards will be very helpful.

Hi.

You can use 2 solutions:

1. standard solution using [STS|http://help.sap.com/erp2005_ehp_04/helpdata/EN/0f/969340a966b80ee10000000a155106/frameset.htm].

2. use your own logic developed in BPS tools (like custom workfkow based on any infoobject that changes values between workflow persons). It is little complicated and requires very detailed design.

Thank you for your prompt reply,

I quickly checked some STS documentation and I want to add the following information:-

u2022 Our Planning users are not part of our org structure (external companies)

u2022 The system is deployed to them through the SAP portal

u2022 The system is used to gather information about manpower planning, attrition etc...it has nothing to do with Budget planning

Do you think that the STS may work with this case??

We are planning to migrate soon to BW 7.xx, is there any additional improvement (compared to 3.5) regarding automatic workflow??

Hi.

Planning users may not be part of your org structure - for STS you create org structure hierarchy as you want and it may be any structure, so it is does not metter.

STS is able to work excellent with portal.

STS developed not only for budget planning - but for any planning (top-down/down-top). You customize it as you wish.

STS also can work with BI7 after migration to, without any convertation.

Hi, i didn't really understand the comment about users need not be part of the organisation in STS. I thought he user(s) entered in STS for each node must exist on the system, even if they are sort of 'dummy' user ids. Maybe you could explain how it would work with an externl user? Llike how they physcally would do the approval). I agree that if using a 'dummy' user id, an external e-mail address can be entered for the notifications, on a node by node basis.

Hi.

It is misunderstanding

I mean by "not be part of the organisation" the next: you create for STS your own hierarchy and add to each node user (REAL user). You can build hierarchy as you want: for example in STS Mister X can be your principal, despite in reality Mister X is your subordinate. Thats all

Without doubts you use in STS real users ...
