Cash Sales with Credit card

Hi,

I would like to know how to handle a scenario in which a customer comes to a shop where he will pick the goods and pay immediately by Cash, Credit Card or Cheque( Rarely).

I understand that Cash Sales Order will be suitable for this scenario. But I would like to know how credit cards can be used here.

Also should a customer(Sold-to-Party) be created everytime whenever a new customer comes in. I can use one time customer but I would like to maintain his address details also for any promotional events.

Please share your ideas on these.

Hi Rasheed,

IMHO Cash Sales integrated in SAP is a valid option only when most of your customers coming in are Businesses => We are in a B2B situation.

When you are in a typical B2C situation AKA shop, I strongly suggest to use a POS (Point Of Sale) software and to interface it with the SAP ERP.

SAP has a POS solution, but it is part of CRM, so you are better off doing the interface by yourself!

If you are in a B2B situation you can use Cash Sales order type in SD:

For cash registration, you might want to use the Cash Journal from FI:

At a customer site, we evaluated the Cash Journal in version 4.7 and we found it's functionality was lacking, for example there was no validation for the cheque number introduced.

Be aware that even if you use the Cash Sales Order, you will need to invoice the deliveries served through the Cash Sale and manually compensate the FI sales invoice document with the customer payment.

This is OK for B2B customers (many of them will be credit customers anyway), but IMHO this is not a good solution for a B2C because of low usability for the business case.

This is the reason SAP itself has a standard solution for a POS for SAP!

I've been helping companies implement this functionality since it was released in R/3 4.0B in 1997. The Payment Card functionality in the SD & FI modules can be used for accepting payment card functionality for any type of scenario so long as the order is entered in SD via a Sales Order creation transaction such as VA01.

It doesn't matter if it is a B2B or B2C scenario, but to Frank's point a B2B scenario typically has less variation to the workflow and tends to work better.

If the credit card is entered on the Sales Order during order creation then SAP will determine, during Order Save, if any of the items on the order are eligible to have their amounts included in an Authorization request. This is determined based on Schedule Lines being confirmed with a Material Availability date within 'X' number of days from the system date. The 'X' is a configuration setting usually set to 3 days or less.

Once an authorization is obtained, SAP will continue to check that the authorization is "valid" or "un-expired" during subsequent Delivery and Invoice creation. The authorization details will be copied to the Invoice, used to post it to Accounting and eventually included in the nightly Settlement file run.

It tends to be fairly easy to use, but let me know if you have any specific questions.

We have a problem with card authorisation on sales order creation in va01. The problem is that va01 performs only preliminary authorisation of payment card and don't perform u2018fullu2019 authorisation at all. We have own simulation module for payment card authorisation that authorises all payment cards without any checks because we don't need to authorise card in SAP, they're already got authorised at our retail system. We just need to save information that order have been paid using payment card.

The horizons are set to 99 days, and all authorisation requirements are blank. When PREAU set to false, VA01 don't perform authorisation at all because billing schedule is incomplete u2014 second line hasn't been created during generation of billing schedule when payment card information got entered. When we set PREAU to true, VA01 performs only preauthorisation and don't perform full authorisation at all.

It is possible to make VA01 perform u2018fullu2019 authorisation at sales order (we use BV type of orders with standard settings) creation without manual authorisation or re-saving sales order?

when u create the cash sale the system will propose u the address sheet where u can maintain the address of the customer very well...
