Document locked by user

Hi,

When I try to open a document in edit mode, I get below warning message.

''The document is locked by usr ABC.The document is opened in display mode''

Because of this I am not able to edit.

I check in SM04 and user ABC is not logged into system.

How can this be resolved?

Please advise.

Also check with ur user ABC has not check out the document.

Because if it is checked out even then it is locked for changes

Hi,

You can't edit if a document is checked out for changes.

Ask him to check in the document. So that you can edit the document.

Ok. Reset his user password, afterthat login as him and check in the document.

Once the document is checked in, then login with your user and check out the document for changes.

Hi,

Tried that but when I tried to check in document from ABC id, it is taking screen to upload doc from computer. How can I upload as I have the latest version on Solution Manager.

What is this check in and check out function used for?

Please advise.

Hi,

Check-In and Check-Out functionality is used to control(Locking) the changes of a document.

Bottomline is more than a user can't change a document at a time(to avoid redundancy).

For example:

If 2 users(USR1 and USR2) want to change a document-A. Both users can't change the document at the same time.

1. First, USR1 checks out the document-A. So that no one can change the document until USR1 finishes his change. Once USR1 completes his change, he will Check-In the document-A.

2. Now, USR2 will be able to Check-Out the document and do his changes. Finally USR2 will Check-In once he finishes his changes.

Finally document-A will have both users changes.

Solution for your issue:

Option1(If you have the recent version of the document):

1. Login as user ABC and delete the document.

2. Login with your user and create the document as a new document.

Option2(If the existing document in system has the recent version):

1. Login as user ABC and select the document; copy the document(use Copy Document button next to Check-In/Check-Out button).

1.1. Once you see an information message at the status bar saying that document is copied in buffer, insert the copied document - "Insert as Copy"(use Insert Document button next to Copy Document button).

1.2. Delete the old document which was checked-out user ABC.

2. Now, Login with your user and check out the document for changes. Check-In the document once you finish your changes.

Check-Out->Change->Check-In.

Hope you will know check-in and check-out now.

There is a download button on the same tab, looks like an arrow pointing to the right. Download it then check it in.

You could also display it and save a copy as... on your local hard drive.
