PC 2.5: Survey Planning

Hi GRC experts,

We have planned a survey (using Evauation Setup > Planning) ) but when done, the planning status gets stuck in Planning.

We have defined:

1) Org. Structure

2) Process hierarchy (Process, subprocess and Control)

3) Survey definition

4) Roles assignment at Control and Organization level

Our questions:

1) How can we move such status forward?

2) How can we receive as a task such survey in order to respond to it?

Hi Olga

Sometimes if you are planning for the first time,workflows needs to be restarted.You can navigate to GRC Process Control => Admin Programs=>Execute Admin programs for workflows , click on the Ad hoc start of assesment /tests

Pull up the workflow tasks by providing the org unit ,timeframe,year etc in the selection criteria.

Select the tasks to restart them.

Hi Debraj,

I am grateful very much for your help. I have finished the process that you mention, first it was in Status of Waiting then I have executed it again and Status is Draft, but I do not obtain to see the process in Work Inbox.

How it assigns the Survey to the User in order that it is possible to see in Work Inbox?

Hi Olga

Please perform the following check in your PC2.5 system.

Go to GRC Process Control => Workflow => Perform task specific Customizing

Expand GRC node,select GRC-SPC node and click on the "Assign agents" link beside it.

All the standard task here(except which are mentioned as background task) should be catagorized as "General Task".

If they are not all categorized as "General Task" ,select each Standard task,go to "Attributes" ,and select "General Task".

Note: Dont change any Standard task which are specified already as background task.

Hi Debraj and Matt,

The josbs have been executed satisfactorily (transaction SM37) GRPC_REPLACEMENT_DAILY and GRPC_WF_NOTIFICATION thanks to his its indications, but I don't says to me that the Work Item are not executing and even one does not see the Survey in the Work Inbox..

Olga,

1) Make sure workflow is active A workflow job executes the item and moves the status from planning to complete. Go to the IMG and go GRC Process Control => Workflow => Perform Automatic Workflow Cusomizing. Make sure everything under "Maintain Runtime Environment" and "Classify Tasks as General" is green. If they are not, select those nodes and click the generate button (red and white icon). The job that performs this specific task is Maintain Runtime Environment => Schedule Background Jobs for Missed Deadlines. Highlight the entry and click Execute. "Interval Until Next Deadline Check" tells you how frequently the job runs. It is suggested Prd is every 20 mins. We keep Dev and QA at 3 mins. You can determine when the job should run by referencing the Start Time of Background Job field. This screen also gives you the job name. Now you know the job name and when it should run. You can also verify the job is running via tcode SM37. Generating the workflow will automaticaly schedule the jobs in the background and create the WF-BATCH ID. You will need SAP_ALL assigned to your ID to do so (if the ID was not already created).

Just to be safe, also verify the Fallback User. Go GRC Process Control => Workflow => Specify Fallback User for Work Items. If a user is not assigned the proper object and role (Control owner John Doe for Control XYZ for Organization ABC) and a recipient can't be resolved, the Fallback user will recieve the work item. For example: you schedule a ToE but no one has the Tester role assigned. The fallback user will receive the work item in their inbox. The Fallback user can execute the item or forward it to the proper person.

Also, just to be safe, print out the documentation for each step under workflow (except for reminders and escalations) and verify it has been completed. In particular, verify everything under Workflow => Perform Task-Specific Customizing has been completed. If the tasks are not classified as "general" that will cause the work items not to show up.

2) Depending on what you scheduled, it will go to a different ID for the specific organization. Tests of Effectiveness will go to the person with the "Tester" role assigned. Test of Subprocess Design will go to the Subprocess owner role and Control test of Design and self assessments go to the Control owner role. If you aren't sure what will go where, make sure your fallback user is setup.

Hi Matt,

Thank you for the quantity of information. On the first point, I understand that they are steps of configuration of the tool in the Backend, but I do not have the steps very clear of since as doing it? They are is Obligatory?

This way since wherefrom the user is formed specifically "Tester" role assigned, because in the part of alone Roles and Their Taks the roles for default in the most top they are Audit Manager, Automated Controls Specialist, CEO/CFO, Internal control Manager, Internal Auditor and Corporate Responsible Person for Reporti and in the more low level (that is where it needed the Survey) the role is Organization Owner.

The problem is like to connect the user with the Survey and that this sees it in the Work Inbox?

Olga,

The backend config steps are absolutely required, especially the ones for workflow. If these are not performed the work items wil not be processed or be received by the appropriate agent.

To see the other roles, go: User Access => Roles and their Tasks => Assign Persons to Roles => Process Hierarchy. All of the role assignments in this section are by individual Org. This is where you maintain lower level role assignments.

I think it might be worthwhile for you to also download the security guide and other manuals. In addition, there are lots of good white papers in the SDN BPX community and App help is good too.
