QM - SAMPLE DRAWING PROCEDURE

dear friends

Is Sample drawing procedure a document (t.code- CV01N) with details of how to collect a sample from a lot supplied or produced. How to maintain a sample drawing procedure for a material. Can we use CV01N alone with a descriptive document how to collect sample for a particular material and give object link to the material master instead of using a sample drawing procedure.

Kindly tell me in details.

Thanks a lot for the very useful inputs.

Shall we discuss in some more detail of using SDP. Consider a scenario where:

1. A liquid material comes in 10 barrels of two ( supplier) batch no.s. In this case if we take samples from 2 barrels (so 2 primary samples).Mix the two to get a single composite sample( so 1 pooled sample) which may be reserved for future inspn. Now we create SDP and shall this SDP include in the sampling procedure (QDV1).If so how to include this in QDV1. or if this SDP is to be directly included in the MIC portion of QP01 instead of sampling procedure. Please tell Which of the above is the right one.

Now in MIGO, since 2 supplier batch no. are received can this 2 batches be entered for example like 2213,2214 (two batches) in the MIGO(which appears in the result recording screen) to create a single inspection lot, or 2213 & 2214 have to entered separately in MIGO with same invoice no. so as to give 2 inspection lots. Or since the pooled same is 1 no.only 1 inspn lot be created based on the no. of physical samples.

2. In the second scenario, if 2 primary samples are created will the system create 2 inspection lots based on the 2 physical samples and results be recorded for these 2 insp lots separately. I want to know if the no. of lots created depends on the no. of physical samples or based on the MIGO only.

Kindly explain, if possilble with a more suitable scenario if I am wrong.

Please find the reply:

We need to create SDP with pre-decided no. of Primary Sample and Pooled Sample first. It nees to be assigned to inspection Plan Header.In the IP characteristics we may assign Sampling Procedure as usual process.

In SDP we define 2 Primary Samples and 1 pooled sample to be taken from the Inspection Lot. In the above example if the Inspection Lot contains 2 suppliers, we are okay with 2 Primary samples.These 2 are mixed and 1 pooled sample is obtained. Please note that only pooled sample are relevant for distribution to Labs for Inspection.

The movement we assign SDP to the Inspection Plan Header; Primary & Pooled samples along with the numbers are created in the back ground. In the Inspection Characteristics we need to assign the Sampling procedure (with Inspection point with Sample Management selected ) for the characteristics.That is which characteristic needs to be measured with what specification and which Sampling Procedure for the Pooled Sample.

Physical Samples are created based on the Inspection Lot and not vice versa.And Inspection Lot is creted on the options you select while going GR ( one for each Material, PO Item, so on and so far)

When ever we talk of SDP, it means that we are dealing with a Process Industry. It is a mandatory Master for defining Samples from Inspection Lot. No it can not be replaced with CV01N which looks like DMS transaction.

These 2 are two differet things.

Hi Selva,

Please find some more details on Sample Drawing Procedure-SDP (T Code : QPV2)

It is important to note that in Discrete Process, we only require to define Sampling procedure (T Code : QDV2) say for example 50 % of the Inspection Lot. We do not define how these Sample are to be selected. It is on random basis as we are dealing with physical units and is not mandatory by Law.

In Process Industry (unlike in Discrete Process), we need to define Sample Drawing Procedure which defines how do we intend to take Samples from the Inspection Lot. It is important here as mostly these industries are Pharma,Food etc. and compliance Laws are mandatory.

We define here no. of Primary Sample (directly taken from the Inspection Lot), we need to define here Pooled Sample ( to be obtained from mixing Primary Sample) and Reserve Sample (from the Pooled Sample to be stored for future reference).

Only Pooled sample is supposed to be inspected to avoid chances of Inspection lot being hetrogenous.

Header

--> If Confirmation required for Physical Sample drawing.

--> what is the Inspection Lot unit (container,number or quantity)

Sample Drawing Items

--> No.of Primary Sample,No.of Pooled Sample,No.of Reserve Sample wrt Sample Drawing Items

Sample drawing Procedure is assigned to Inspection Plan Header.

At the characteristic Level in IP, we need to assign Sampling Procedure (with radio button - for Sample Management )
