Difference between revision and Version

Hi friends

I have One Querries.

1. What is the difference between Creating Version of a Document and Creating Revision of Document.

In what Business Scenarios Version and Revision is created?

2. Is it possible to create Revision without assigning ECM No?If No Why ECM No is compulsary?

Hi

In terms of SAP DMS and ECM, as far as I understand, the differences are as follows

- Version :- When ever a new DIR you want to create, whether after the DIR is released or at any stage, it is possible to create as a new version.. In a broader way, a revised document / drawing as we normally have for Engineering Drawings, can be created using Versioning in DMS.

To simplify, if u don't bring in ECM concept, version and revision are same, but we have only one term 'Version" in DMS.

- Revision :- If the DIR is changed using a Change Order or an Engineering Change Request, the term "Revision Level" or Revision is coming into picture..

If you want to use Revision in a DIR, you have to create a change order in ECM and also you have to set the status " Complete for ECM" in dc10 for that particular status..

To simplify, the Revision level or Revision is used to change a DIR where ever there are scenarios of Engineering Change Requests or Change orders..

I have not worked on Revision Level scenarios.. But still I believe the foll may be relevant

Version : A new policy has to be released based on an existing one..There is no change order or approval needed for this revision.... Create a new version

Revision :- You received an Engineering Change Request to change a Policy..or Change Order..

You create the Change Order or ECR, link with the DIR, get it approved and Released..

There is more to revisions and versions than just the technical differences in the configuration in SAP. This comes from a drawing environment where a drawing off may create more than one version of a document before deciding on their final design.

For example:

A bicycle manufacturer comes up with 3 different bicyles, ver 00, 01 and 02. All could use a change master and all may be in work at the same time while they are looking at the designs. They look at these designs and eventually decide that they want to build ver 01, so they released this version after approval and this is given revision AA as its final number. ver 00 and 02 are still kept for historical purposes and they would generally cancel these two.

Revisions are normally only used with drawings. You can use change masters or change orders without a rev, but you can't use revisioning without change masters. It is very uncommon to use this for policies as there is no real point or advantage to doing this.

Hi Mangesh

Anyone who knows the answer generally won't respond if they see a correct answer given. Therefore its unlikely you will get many more responses unless you specifically request clarification on answers given or ask questions regarding specific answers. Just leaving the question open also doesn't help other people with the same problem because they assume the correct answer to the question was not given as the question is marked as unanswered. This leads to others re-asking the same question.
