At what cases we need to use Checkout Non-Exclusive

Hi Guys,

Can anybody make me clear with concept checkout nonexclusive. I worked with checkout exclusive where the owner of the record can able to modify. But with checkout nonexclusive without owner intervention everybody can able to work with that. How it is possible and explain me with some relatime cases.

Hi Yugandher,

Checkout in MDM is a feature that works as Locking.

When a user wants to lock a particular record that he is currently working upon he uses the Checkout option in MDM.So that others users do not access the inconsistent data at any point.

At time it becomes necessary to let more than one user work on a given record jointly before confirming the changes (checking in).

At such time the owner needs to checkout the record non exclusively so that other Users or Roles can join in the Checkout through Modify permissions.

In this case all the valid users can view the latest copy of the record and can work on then jointly.This is used when a team of people need to approve a change in the record before finalizing it.

Checking out an existing or new record can be: (1) Exclusive, which grants join permissions to no other roles or users (by default, no other users can join the checkout); and (2) Nonexclusive, which grants join permissions to the Everyone role (by default, all users can join the checkout).

Consider the following scenario:

A requestor has asked for a new customer to be created via portal UI. The record is checked out and a workflow is launched which will process all approvals and finally if approved the record will be checked in.

Lets envisage that a second requestor searches for the same customer and finds that its under creation/checked out.

Now, if he /she wants to request a change to this record, he/she will have to wait for the first request to be approved/rejected before launching his/her request.

Here, If the initial checkout is non-exclusive, second requestor can join the checkout and desired changes, if any, can be made to the record...

Hi,

When you do Checkout in NonExclusive mode, by default anyuser can modify the record, you need to remove the anyone and assign the users or roles who should modify the checkedout record using Modify Join Permissions

NonExclusive is helpful when it is required that more than one user should modify the records.

Hi Ravi,

Check out Non Exclusive: In check-out non-exclusive user who checks out record gets the option of adding or removeing users and/or roles by moving them between the Available and Selected lists.

The user who checks out a record non-exclusively gets the option ' Modify Join Permission '. The purpose is we can assign users and roles. ( some times there will be non members of the check out)

Steps are:

1.In the Records pane, select the checked out record(s) whose join permissions you want to modify.

2. Right-click on one of the records and choose Check In/Out ® Modify Join Permissions from the context menu, or choose Records ® Check In/Out ® Modify Join Permissions from the main menu.

NOTE: When you checked out the record Non-exclusively for example 2 records, for another user, these records will be greyed out, the user can checked in by in the context menu --> check in / out --> click on join check out . then only he can view and make any changes in the record.For him modify join permissions will be disabled.
