Hi all,

how to release a document created in SAP DMS to make it green and what is the use of it?

how to give class to a document created ?I was trying to give going through Extras-> but the classification option is not in dislay mode.

Is there any other way to give the class to a document and what is the use of defining class?

classifying the document?

versioning the document?

defining document types?is there any standard type to define for media files or can we give customised one?

how to give the numbering to the document is there any specific standard numbers or can we give any number?

Thanks Seema for response,

For SAP defined document types in DC 10 we can see the class and all by selecting any one document type.

But suppose if you define your own document types for some documents then how to define the class for that document ?

which is the basic customisation screen in DMS to go and define classification of data.

Is there any link between class and class type and classification?

It sounds silly buy please respond

HI

While craeting a new document type in DC10 itself you can select the class for that document type.

Try to create a new document type in DC10 you can see a field for class. Class can be created in CL02 and characteristics can be created in CT04.

Hi,

1) In DC 10 selecting new entry you have to create Document type save it.

2) In(DC10) Define document type ->select document type(which you have created) in view the detail tab there is field selection field in class data, set as display Entry.

Create Class using Tcode CL02 and using T code CT04 create charecteristic and assign to the class.

Create DIR(CV01N) with created Document type save in change mode(CV02N) you will find the classification tab on the top right there you assing the created class, hence you can link class with DIR.

document can be released at the end of lifecycle of document or once document completes it objective of getting created.to make document release green,while defining doc type in DC10 you also need to define status network, for ex: create>review>release, under release status you need to set status as 'S' locked and check release box,the user once sets this status in document the document gets released with green indicator and also along with release date.

classifying the document?

tis can be done in one of the ways below,

1. first create characteristics with required values under CT04, create class under CL02 and assign characteristics or Vice Versa.

2. Assign this class to particular doc type so that this class acts as default classification for all the documents for that particular doc type.

3. first create a document and then you can call the requried class.

versioning the document?

this can be used to maintain history of all the document versions.

can be done thru DC10, doc types defined can be diffentiated as per requirement based on status network, workstation application etc.

how to give the numbering to the document is there any specific standard numbers or can we give any number?

you can use standard number ranges or if you need customized number you need to go for customization,

under number range types, if you use external numbering then within the defined number range you can give any number while internal numbering, system itself assigns next consecutive number

Hi

For releasing a document first it should have a status network with a release status. Once the document is released it cant be modified, that is it is in locked status.

Classification can be done from the classification tab in basic data screen. It will be useful for searching the document later.

how many class types we have ?can we create a new one or we need to use the standard types?

where can I see all the class types?

Hi

There are many class types existing by default. But for DMS use the standard ones 017 etc.

You can create new classes in that type and create characteristics based on that and use them to classify your document.
